About Sauder Sports

Sauder Sports is Sauder's only sport and entertainment club. We run one signature event every month from September through April, and every single one is free to attend. No entry fee, no ticket, no barrier. This year we're running eight events plus a Biz Week booth, with men's and women's divisions across the season and a brand new Points Cup: a season long standings race where every event feeds one leaderboard, crowned at the April finale.

Our season includes the Spikeball Kickoff, a POITS beer pong collab, indoor volleyball, a December watch party, the Sauder Basketball tournament, a pickleball bracket with the Pickleball Club, a March Madness pool and HEWE spin class, and Ultimate at the April finale. We collaborate with POITS, the SBA, HEWE and the Pickleball Club to bring together athletes and non athletes alike.

The Role

We're hiring two First Year Representatives to join our 12 person executive team for the remainder of the 2026/27 season. You'll join right as the season hits its stride, starting with November volleyball and running through the April Points Cup finale.

This is a generalist role with a heavy events focus. You'll work most closely with our four Event Coordinators, but you'll touch every part of how a Sauder Sports event actually happens, from the planning spreadsheet to the last chair stacked at the end of the night. It's the best seat in the club for a first year who wants to understand how a student organization really runs.

What You'll Do

Event execution

• Take on day of roles at every event: check in and RSVP desk, court marshal, bracket keeper, food and setup, and MC
• Help build and run event run sheets alongside the Event Coordinators
• Manage RSVP forms and translate turnout numbers into food and equipment counts
• Track and log Points Cup scores at each event so the leaderboard stays current
• Support setup and teardown at venues including Rec North, MacInnes Field and the ARC

Logistics and coordination

• Help coordinate borrowed equipment (nets, balls, sets) and confirm pickups before event day, not after
• Work with Externals on food, drink and supply orders so nothing gets bought ad hoc
• Flag scheduling conflicts against the UBC calendar, including reading week and exam periods

First year outreach

• Be the voice of the first year cohort on exec, telling us what your peers actually want to show up for
• Help promote events within first year classes, cohorts and group chats
• Support the Biz Week booth and other recruiting moments

Time Commitment

Roughly 3 to 5 hours per week, weighted heavily toward event weeks. Expect a lighter load between events and a bigger push in the days surrounding each one. You must be available on event days, which fall on weekday evenings and weekend afternoons. The full event calendar is shared at onboarding so you can plan around midterms.

Term runs from hiring through the end of the 2026/27 season in April 2027.

Who We're Looking For

Required

• First year student at UBC Sauder School of Business
• Available for the majority of our events between November and April
• Organized and reliable. When you say you'll confirm the nets, the nets get confirmed
• Comfortable communicating with vendors, venue staff and other clubs

Nice to have

• Experience playing, organizing or coaching any sport at any level
• Familiarity with Google Sheets, Forms, or any event planning tools
• A network within your cohort and a willingness to actually use it
• Interest in sponsorship, marketing or operations

You do not need to be an athlete. Some of our most valuable exec members are people who show up for the community rather than the competition.
