The Opportunity:

The Facility Rental Administrator, with support from the group, is responsible for working directly with community groups/users to process, schedule and input booked functions at all City owned indoor facilities and outdoor recreational areas. The primary accountabilities for this position include:

• Administers all event rental contracts for the Town and Country Centre through planning, organizing and communicating with the operational department regarding the event (i.e. set-ups, special instructions, key information, etc.)
• Works with community groups/sports organizations, residents, and business owners to coordinate logistics for event rentals
• Provides support for the facility rental administrator team for a variety of indoor and outdoor rental areas. This may include recreational sport bookings, meetings rooms and gathering spaces, birthday parties, large events, special events and drop in recreation programming
• Manages booking contracts, collects signed documents, deposits, payments, gathers applicable booking requirements and updates and amends contracts as needed
• Conducts annual market comparison research for fees related to a variety of indoor and outdoor rental spaces
• Liaise with operational departments to ensure effective implementation and execution of planned rental events/bookings

You Bring:

• Recreation diploma or equivalent education or relevant work experience
• Minimum of 5 years of customer service experience
• Must have advanced knowledge and skills of Perfect Mind software including Registration, POS and Facility Booking modules
• Standard First Aid Level C, CPR and AED certificate
• Proficient in Microsoft Office including Word, Excel and PowerPoint
• Exceptional customer service focus
• Strong problem solving, decision making and conflict resolution skills
• Strong communication, interpersonal and influencing skills with the ability to present complex issues effectively
• Excellent attention to detail
• Display excellent independent decision-making and analytical skills with the ability to look outside the box for best practice actions

Additional Information:
