Fleet Maintenance Administrator

Job Responsibility:

Job purpose

The Fleet Maintenance Administrator is responsible for documenting the maintenance and repair services of the company's fleet of trucks. This role involves coordinating with drivers, technicians, and the fleet maintenance team to ensure that all vehicles are serviced efficiently and effectively, minimizing downtime and ensuring regulatory compliance.

Duties and responsibilities

The Fleet Maintenance Administrator will be knowledgeable in the use of in-house equipment and materials handling. Duties will include:

Fleet and Maintenance Administration:

· Building and closing work orders

· Generate and review reports as required

· Samsara maintenance, including all units coming due for service or repair

· Ensure IFTA stickers are up to date on all applicable units.

· Booking units for warranty work through third party vendors.

Service Order Management:

· Create detailed and accurate service orders based on driver reports and technician diagnoses.

· Ensure all required information is recorded, including vehicle details, service requested, and parts needed.

Parts and Inventory Management:

· Order and track parts required for maintenance and repairs.

· Maintain an inventory of commonly used parts to reduce downtime.

· Work with vendors to ensure timely delivery of parts and negotiate favorable terms.

· Key cabinet management and distribution.

· Pick up/return parts when needed.

· Maintain accurate and up-to-date records of all service orders, maintenance activities, and repair transactions.

· Prepare and submit regular reports on fleet maintenance status, costs, and performance metrics to the fleet maintenance manager.

· Data entry for all CVIPs

Compliance and Safety:

· Assist with ensuring all maintenance and repairs comply with company policies and regulatory requirements.

· Promote a culture of safety and report any safety concerns or incidents.

· Conduct regular audits of maintenance records to ensure accuracy and compliance.

Communication and Customer Service:

· Communicate effectively with drivers, technicians, and management to ensure clear understanding of maintenance needs and status updates.

· Address and resolve any issues or concerns promptly and professionally.

Continuous Improvement:

· Identify opportunities to improve maintenance processes and reduce costs.

· Stay informed about industry trends, new technologies, and best practices in fleet maintenance.

· Participate in training and development opportunities to enhance skills and knowledge.

Qualifications & Requirements

· Education: High school diploma or equivalent; additional technical or business training is a plus.

· Experience: Previous experience in a service writer or fleet maintenance role within the trucking or transportation industry is preferred.

· Possession of a valid Class 5 Driver's License and a clean drivers abstract.

Skills & Experience

· Knowledge of WHMIS and MSDS

· Strong communication and interpersonal skills.

· Excellent organizational and multitasking abilities.

· Proficiency in using computer software for service order management and fleet maintenance tracking.

· Knowledge of truck maintenance and repair processes is an advantage.

Working conditions

The role involves working in a fleet maintenance environment with exposure to noise, machinery, and various chemicals.

Physical requirements

May require standing, walking, and lifting light to moderate weights.

Job Types: Full-time, Permanent

Pay: $24.00-$29.00 per hour
