Duties and Responsibilities

This position is responsible for ensuring the efficient, effective and professional operation of the Office of the Vice President, People, Communications, and Enrolment. The Office Manager provides comprehensive executive and operational support to the Vice President and serves as a central coordinating resource across a broad and high-demand portfolio that includes Human Resources, Communications and Marketing, Domestic and International Recruitment, and Enrolment Services.

Working in a fast-paced environment with competing priorities, sensitive matters, and institutional deadlines, the Office Manager supports the execution of the Vice President’s strategic priorities by coordinating day-to-day office operations, leadership activities, planning processes, portfolio reporting, issues management, confidential matters and special projects.

In close collaboration with the Vice President’s direct reports, portfolio teams, and institutional leaders, the incumbent facilitates communication, monitors key deliverables, supports decision-making processes, and helps ensure the timely completion of priorities across multiple departments and functions. The role requires sound judgment, discretion, professionalism, strong organizational skills and the ability to manage complex and time-sensitive work with accuracy, diplomacy, and follow-through.

Specific responsibilities include:

  • Executive Support and Executive Office management: Provide high-level administrative support to the Vice President, including managing calendars and commitments; preparing and coordinating briefing materials, presentations, reports, and communications; monitoring and managing executive workflow, approvals, and follow-up items; and acting as the primary liaison for the office. Ensure institutional policies and procedures are adhered to, including budgeting and purchasing requirements.
  • Portfolio Coordination and Planning: supporting annual business, budget and operational planning and reporting processes, institutional events, cross-functional projects, change initiatives, and operational improvements. Consolidating portfolio reporting requirements, tracking portfolio goals and priorities, and managing confidential information with discretion and sound judgment.
  • Scheduling and Event support: coordinating meetings with internal and external stakeholders. Support with planning and logistics for institutional events such as Open House, Program Information Nights, Employee Town Halls, and other college-wide initiatives.
  • Committee and Administrative Support: preparing agendas, managing meeting logistics, and maintaining documentation for key committees and working groups. Ensuring accurate record-keeping and timely updates on portals and shared systems.

Qualifications

  • A minimum of a three-year diploma or degree in Business Administration, Office Administration or Communications, along with 5 years of relevant experience.
  • Demonstrated commitment to equity, diversity and inclusion.
  • Leadership development courses or certifications will be considered a strong asset.
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook), SharePoint, and enterprise systems (e.g., Banner, FAST).
  • Strong organizational, time management, and project management skills with the ability to balance multiple priorities.
  • Exceptional interpersonal, verbal, and written communication skills, with sound judgment, diplomacy, and discretion in handling confidential matters.
  • Proven problem-solving, critical thinking, and conflict resolution abilities; able to work independently under pressure.
  • Experience in budget coordination and financial tracking.
