Job Summary
A Brief Overview
Reporting to the Manager, Student Services, the Academic & Career Advisor is responsible for providing academic advising for students and potential students on all Faculty programs, regulations and policies, career advising for students and alumni, and participates as a member of the advising team of the Student Services unit of the Faculty of Education. The Academic & Career Advisor is required to maintain an excellent working knowledge of admission, registration, and program policies and to clearly communicate these requirements with various stakeholders. The Academic & Career Advisor must maintain an updated knowledge of departments at Queen's and outside agencies such as the Ontario Universities' Application Centre (OUAC), the Ontario Ministry of Education and the Ontario College of Teachers (OCT). This position provides individual and ongoing support to students including degree requirements, course selection, transfers, timetabling, withdrawals, and regulations. The position provides timely and professional provision of academic advising services, monitoring academic progress requirements including tracking academic records, transfer credits, and facilitating individual student study plans. The Academic & Career Advisor is responsible for administrative duties in support of student progression in the program, including but not limited to: processing student placements (EXLR), facilitating presentations on program requirements and supports, and regular audits of student program progression. This position works as a resource to faculty including explaining policies, procedures, and student progression, and recommends changes to policies and procedures for improvement of department services. This position works closely with key stakeholders [e.g., the Associate Dean, the Director, Faculty of Education Academic & Career Advisors, instructors and administrators in the Departments, other Faculties and Schools] to coordinate and facilitate academic consideration requests for students facing extenuating circumstances, and liaises with other departments [e.g. Student Wellness Services and the Chaplain's Office] as required to ensure the timely and professional provision of student support services. The Academic & Career Advisor delivers programs and services to assist consecutive and concurrent students and alumni (clients) in managing their careers now and into the future. Services include resume and cover letter writing support, delivering career workshops, interview preparation, liaising with Canadian and International employers, on-campus and virtual recruiting events, and providing information on employment opportunities in teaching and related careers. Some evening and/or weekend work may be required.

What you will do
Provides academic advice to students including degree requirements, course selection, transfers, timetabling, withdrawals, and regulations. Acts as subject matter expert on policies and procedures for academic programs which may include submitting applications, registration, and/or fee payment. Acts as a resource to faculty including explaining policies, procedures and student progression. Recommends changes to policies and procedures for improvement of department services. Coordinates large unit-wide tasks, activities, and or/events. Facilitates and/or participates at events which may include recruitment events, workshops, webinars, information sessions, presentations and/or ceremonies.
Provides administrative support including, managing data, preparing reports, drafting correspondence, scheduling and tracking materials for courses, and/or monitoring and maintaining records. Liaises with outside colleges and/or regulators to confirm and verify student information for registration.
Oversees the grade collection process for placements.
Coordinates student appeals of academic decisions including assessing appeals and drafting correspondence.
Builds and maintains relationships with external parties, creating opportunities for mutually beneficial collaboration. Prepares external communications including newsletters and website updates.
Provides referrals to additional resources. Administers placements including confirming supervisors and appropriate placement locations. Provides back up and support to other positions within the department. Refers special academic issues including academic integrity and grievances to the Director and/or Chair.
Other duties as required in support of the department and/or unit.
Required Education
~ Four-Year Bachelor Degree or equivalent.
Required Experience
~ More than 3 years and up to and including 5 years of experience.
Consideration may be given to an equivalent combination of education and experience. Job Knowledge and Requirements

Identify opportunities to improve the effectiveness and efficiency of work processes.
Draw logical conclusions and provides opinions and recommendations.
