Office Manager - Permanent Full-time

Kittiwake Ballet is Newfoundland and Labrador’s professional dance performance company. John’s and representing the diverse spirit of the province, our programming combines beloved family-friendly productions with contemporary ballet that makes its mark on the global dance scene. Kittiwake Ballet Conservatory provides dance training of the highest caliber to developing dancers at all levels. We enrich the community and cultural economy of Newfoundland and Labrador by providing this specialized training within the province.
Our Company and Conservatory now share a new studio space, and this role is central to bringing that space to life — as the first face and voice that students, dancers, parents, artists, and stakeholders encounter when they connect with Kittiwake
For the first time in its history, Kittiwake is creating a dedicated Office Manager role, replacing our outgoing Administrative Coordinator position. The Office Manager is the operational and administrative backbone of the organization — supporting both the Company and the Conservatory, and serving as the welcoming front-of-house presence in our studio.
Studio Front Desk & Reception
Welcome and assist everyone who comes through our doors — students, dancers, parents, artists, and stakeholders
Answer phone and email inquiries (including the main info@ inbox), directing questions to the right person
Process registrations for Conservatory classes, workshops, training programs, and company auditions
Keep the front-of-house space organized, on-brand, and welcoming
Administration & Communications
Manage day-to-day internal communications with administrative and artistic staff
Handle external communications with community stakeholders, media, and the public
Draft e-newsletters, social media content, and website updates for the Executive Director's review and approval
Maintain Kittiwake's records: attendance, ticket sales, membership data, alumni records, inventories, and volunteer participation
Prepare and file statistical and project reports for funders and CADAC
Finance & Bookkeeping Support
Support bookkeeping duties alongside the Treasurer and our external bookkeeper, keeping financial records well-organized and annotated
Prepare accounts payable documentation and cheque runs; prepare, distribute, and track accounts receivable
Draft fundraising proposals and grant applications for the Executive Director's review and approval
Prepare and distribute charitable tax receipts
Compile concert program content and coordinate volunteer recruitment and scheduling
A recent graduate of a post-secondary program in business, communications, media, and/or the performing arts
Comfort with (or willingness to learn) basic bookkeeping and financial administration
Proficiency with everyday office and social media tools
Flexibility to work occasional evenings and weekends to support performances, events, and community activities

This position is funded through a provincial wage-subsidy program for recent graduates, so candidates must also meet the following:
Live in Newfoundland and Labrador
Are unemployed, or underemployed (averaging under 20 hours/week of work, or working in a field unrelated to your training)
Are a Canadian citizen or permanent resident of NL — or, if a temporary resident, hold (or have applied for) a Post-Graduate Work Permit as a recent MUN or CNA graduate, or hold an Open Work Permit, and are a resident of the province
Completed a post-secondary program of at least one academic year, within the past two years, that relates directly to this role
proof of graduation, residency, and work permit status, where applicable) before an offer is finalized.
Hours: Full-time, 30 hours/week
Term: 42 weeks (Sept 1st, 2026 – June 21st, 2027), with a strong expectation of transitioning into a permanent role
