ABOUT US: Alberta Animal Rescue Crew Society (AARCS) is a registered non-profit charity located in Calgary Alberta helping over 4000 animals find loving adoptive homes each year. Our mission is to rescue and rehome animals in need and provide community support programs that help people and their pets.
AARCS Veterinary Hospital is a fast-paced high volume clinic designed specifically to help rescued animals. Our team of experienced veterinarians technicians assistants and support staff ensure the animals are provided with the highest standard of medical care. The hospital is fully equipped allowing our team to perform a variety of treatments on a daily basis.
THE ROLE: Reporting to the Director of Animal Health this position is responsible for the coordination of the Compassionate Care program providing assistance with scheduling accounting support administration and general inquiries for the hospital and the overall support of the veterinary hospital staff and volunteers.
ABOUT YOU: With a genuine interest in animal welfare business management and ideally a background in animal medical care you are interested in growing a career in animal welfare. You are highly proficient in computers spreadsheets and typing. You are confident with medical terminology or have a drive and willingness to learn. You are confident to work with all types of personalities have a passion for collaboration love providing great customer service and are always looking for ways to expand your skills.
Genuine interest in animal welfare.
Highly proficient in computers including Google Platform/Microsoft email PetPoint or equivalent database experience data entry and typing skills.
Customer service experience with an ability to develop positive rapport with a diversity of people with different backgrounds and personalities.
Requires minimal supervision yet remains highly accountable for reporting.

Coordinate the Compassionate Care program (veterinary care for client pets) with the support of the Director.
Coordinate outsourced veterinary appointment scheduling including working collaboratively with outside clinics and arranging medical care for patients in Edmonton.
Assisting with scheduling accounting support administration and general inquiries for the hospital. Verify animals are medically cleared for adoption and send weekly vaccination reminders to foster homes. Ensure veterinary hospital paper files are maintained. Facilitate bi-weekly PetPoint audits to ensure accuracy and process flow and maintain various department spreadsheets. .
Manage tracking and reporting on monthly statistics for the veterinary hospital Compassionate Care and Critter Program. Alongside the Director manage oversight of day-to-day operations and regulatory requirements including Dosimeter badges licensing staff training volunteer coordination equipment inventory maintenance and replacement.
Develop and implement an effective inventory control system to ensure that necessary office and medical supplies are ordered in a timely manner. Support veterinary hospital staff with answering the phone line.
Perform high volume data entry of medical records into electronic form.
Ensure timely entries of all previous medical records for public intakes City of Calgary Animal Services and/or outsourced medical records.
Work collaboratively with the veterinary hospital staff and volunteers.
Assist with animal handling as needed in the veterinary hospital and other tasks as assigned.

Education/Training:
Minimum High School Diploma or equivalent.
Degree or diploma in business or veterinary medicine field i.e. Minimum three years in a business environment or a veterinary clinic or hospital considered an asset.
Experience in animal welfare/shelter environments is considered an asset.

Veterinary Hospital environment within a busy animal shelter with a moderate to loud noise level.
The position may involve exposure to dangerous and/or diseased animals.
Shifts: Monday to Friday from 9:00am to 6:00pm (occasional opportunity to work from home)
