Planning & Operations Specialist

You'll coordinate schedules, communicate across multiple teams and locations, and ensure that every installation, service call, and production cycle stays on track. Your organizational skills and attention to detail will directly impact our efficiency and customer satisfaction.
Create and manage daily schedules based on production plans, resource availability, and operational priorities
- Collaborate closely with production, sales, shipping, and service teams to ensure schedules reflect real-time progress and changes
- Forecast shift and workload requirements to maximize capacity, reduce downtime, and improve workflow efficiency
- Schedule window and door installations and service appointments accurately and efficiently
Communicate with field technicians across Alberta to coordinate jobs, resolve scheduling conflicts, and provide on-site support
- Align scheduling activities with all stages of the production cycle to support continuous, efficient operations
- Distribute production paperwork and dispatch order files to shipping daily
- Customer & Internal Communication
- Respond to customer inquiries via phone, email, and voicemail with professionalism and promptness
- Send quotes to customers, follow up to close sales, and provide real-time project status updates
- Prepare and maintain operational and performance reports for leadership
Provide regular progress reports to management on schedules, delays, and service adherence
2+ years of experience in an office, operations, or scheduling environment
- Strong time management and multitasking abilities in a fast-paced setting
- Advanced proficiency in Microsoft Office (Excel, Outlook, Word)
- Experience with production planning, dispatching, or scheduling software
Office-based role using standard equipment: computer, phone, and scheduling tools
