We are currently seeking a dynamic and detail-oriented Office Administrator for a permanent position in Toronto (Eglinton West area). In this role, you will be the heartbeat of the office, managing everything from general administration and sample room organization to supporting the sales, logistics, and accounting teams.
This is an in-office position (5 days a week) offering a flexible schedule, a collaborative small-team environment, and genuine opportunities for career advancement. Manage general office procedures, including handling incoming phone calls, greeting visitors, and managing couriers to ensure professional first impressions.
- Coordinate the ordering and inventory management of office supplies, ensuring the team has the tools and amenities (including kitchen supplies) needed to operate efficiently.
- Provide exceptional customer service by handling inquiries and resolving complaints in a professional and timely manner.
- Organize and coordinate office events and team lunches to foster a positive company culture.
- Facilitate the shipping of sales samples via UPS and coordinate with the warehouse to request necessary stock for sample building.
- Assist the accounting department by matching accounts payable invoices and ensuring accurate record-keeping.
- Support the sales team by assisting with the completion of sales submission forms and building physical sales samples for customer presentations.
- Provide ad-hoc administrative support to the sales, logistics, and operations teams as needed, including data entry, file formatting, and vendor form completion.
2 to 3 years of experience in an administrative or office support role.
- Must be available to work in-office 5 days a week in Toronto.
- Proficiency in Microsoft Office Suite (specifically Outlook and Excel) is essential for daily correspondence and data management.
- Strong data entry skills with a high degree of accuracy and attention to detail.
- Adaptability and a willingness to learn new processes and software quickly.
- Familiarity with Microsoft Teams for internal collaboration.
- Knowledge of QuickBooks is considered a strong asset.
