- As the Mailroom & Reception Administrative Coordinator, your daily contributions will impact the efficiency of the entire business administration team. Managing all incoming and outgoing mail, including sorting, distribution, and coordinating with couriers to ensure timely delivery of essential documents.
- Serving as the primary backup for the reception desk, handling high-volume calls with professional phone etiquette and greeting visitors with a positive attitude.
- Entering data and scanning documents into internal systems with high accuracy to maintain digital records.
- Assisting the Facilities department with workstation setups, supply inventory management, and office organization projects.
- Responding to internal requests from various departments, ensuring a high level of customer service within the organization.
- Preparing correspondence and shipping equipment or documents while maintaining the quality and accuracy of all information.
- Supporting new initiatives and administrative projects as requested by the Facilities Manager to optimize office workflow.
- Ensuring the front office and mailroom areas remain organized, professional, and compliant with corporate standards.
To excel as a Mailroom & Reception Administrative Coordinator in this business administration environment, you should possess the following skills:
- Microsoft Office Proficiency: Organizational Excellence: The ability to prioritize multiple tasks in a high-volume environment without continuous supervision.

- Minimum of 3 years of experience in a professional office or business administration environment.
- Availability to work 100% on-site in Vancouver, Monday through Friday.
- High school diploma or equivalent; post-secondary education in office administration is an asset.
