The National Research Council of Canada (NRC) is seeking a highly organized and proactive Administrative Coordinator to join the National Program Office. The Administrative Coordinator would be someone who shares our core values of integrity, excellence, respect and creativity.
The Administrative Coordinator provides comprehensive administrative and operational support to ensure the smooth and efficient functioning of the National Program Office (NPO) team.
Provide general administrative support to the National Program Office, including time recording, travel coordination, procurement activities, and acquisition card administration.
Organize and support meetings and committees, including those involving senior management, by preparing agendas, coordinating presentations, taking minutes, and following up on action items.
Manage and maintain documents and records using DocZone and other document management systems.
Contribute to the development and implementation of consistent operational and administrative practices within the Branch.
Identify and recommend opportunities for continuous improvement of administrative processes, tools, and systems.
Preference may be given to candidates with a post- secondary degree or diploma in a field related to the position (i.e. business administration, accounting, commerce, etc.).
Significant* and recent** experience in providing a wide range of administrative services to a large group of clients, including senior managers (Directors and above).
Significant* experience in administrative policy interpretation, developing and implementing administrative policies, processes and procedures within a federal government common services context.
Significant* experience with Microsoft Office software including Word, Outlook and Excel, and SharePoint/DocZone.
Experience with document management and reporting processes i.e. tracking, consolidating content, data entry, data manipulation, database maintenance and drafting for reporting purposes.

Technical competencies
Solid knowledge of general administrative, operational and financial policies, processes, procedures and reporting within a large organization preferably within a Canadian federal government context.
Solid knowledge and ability to review/evaluate administrative practices and processes and to propose and implement recommendations to ensure continuous improvement and administrative efficiency.
Ability to interact and communicate effectively with clients, staff and senior managers within the organization to address operational issues (including presentation skills, verbal communication skills and ability to write in a clear and concise manner).
Ability to analyze, prepare and present qualitative and quantitative information for reporting at a senior level.
