Operations Coordinator

The Operations Coordinator is responsible for theday-to-day coordination of regional operations. This role helps keep customerprojects moving, ensures technicians and customers have the information theyneed, and maintains accurate operational records across our systems.

The ideal candidate is organized, proactive,comfortable managing multiple priorities, and able to follow through onoutstanding items without losing sight of the bigger picture.

Coordinate pre-inspection and installationscheduling.

Confirm upcoming appointments with customers andtechnicians.

Customer &Technician Communication

Maintain clear and timely communication withcustomers throughout the operational portion of their project.

Follow up with customers for missinginformation, documents, or scheduling requirements.

Coordinate with suppliers, subcontractors, andinternal teams where required to keep projects moving.

Review completed inspection and installationwork orders for completeness and accuracy.

Maintain accurate information in NetSuite (ERPsystem ) and Shepherd (field management software), including account statuses,dates, tasks, notes, work orders, and documentation.

Complete required customer, account, and programsubmissions once documentation is available.

Pipeline & Follow-Up

Review stagnant accounts and identify the nextaction required to move them forward.

Follow up on non-responsive customers,incomplete work orders, missing documentation, and other outstanding items.

Monitor accounts throughout the operationalpipeline and ensure completed work is processed promptly.

Identify recurring operational issues that mayaffect scheduling, job readiness, documentation, or account progression.

Ability to manage multiple customers,appointments, and outstanding items at the same time.

Comfortable working with business systems andlearning new technology.

Ability to work effectively with customers,technicians, suppliers, subcontractors, and internal teams.

Experience in HVAC, construction, field service,operations, or a similar environment is considered an asset.

TheOperations Coordinator plays a direct role in improving the customerexperience, supporting our field teams, and helping us deliver projectsefficiently as we continue to grow across Canada.
