Administrative Assistant for union client, Oshawa.
Job Type: Temporary.
Initial Term: ASAP to March 1, 2027.
Parental Leave Coverage.
Compensation: $29 per hour.
Regular Work Hours: 2 shifts rotating monthly. Shift 1: 7:30 am - 3:30 pm not including 1 hour unpaid lunch break, Monday to Friday. Shift 2: 8:30 am to 4:30 pm, not including 1 hour unpaid lunch break, Monday to Friday. 35 work hours per week for each shift.
Work Location: 100% onsite at client's Oshawa office, with free parking provided.
Onsite Dress Code: Business Casual according to Client business requirements. Non-Scent policy in effect.
Position Reports To: Administrative Services Manager.
Provide administrative, clerical and reporting support services to Organizing Department in a fast-paced, unionized environment, working as part of an administrative team.
Provide reception coverage and respond to walk-in and telephone inquiries.
Create and maintain databases, spreadsheets, tracking tools and additional reporting systems as required. Assist with dispatch administration.
Process and submit invoices and expense claims to accounting for approval.
Provide administrative support services to organizing campaigns including document management and research.
Provide administrative support to apprenticeship information sessions and cross-departmental initiatives.
Additional administrative, clerical and customer service and reception related responsibilities as required.
Education: Post-secondary education in Office Administration, Business Administration, or related field.
Preferred Work Experience: At least 2+ years of experience in office administration.
Union environment experience an asset.
Technical and Language Skills Requirements:
Advanced proficiency in MSOffice, including Word, Excel, Outlook and Teams (will be tested).
Strong data entry and typing skills (will be tested).
Superior attention to detail (will be tested).
Strong English written and reading comprehension skills, including satisfactory business writing skills, spelling, grammar, proofreading and syntax (will be tested)
Strong verbal English skills, with professional telephone manners.
Focused and able to work effectively with minimal direction and supervision, to prioritize tasks effectively, and to manage volume targets and due dates.
Proven ability to professionally handle confidential information and exercise good judgement in the interpretation and application of instructions and organization policy.
Must be available immediately for interview and start.
Must be able to commit to the full term of the parental leave contract.
Ability to work 100% onsite, abiding by organization health and safety policies.
Ability to declare personal Non-Conflict of Interest in execution of assignment responsibilities.
Provision of certification of AODA and OHSA online training course completion prior to assignment start.
Additional satisfactory Background Checks, Technical Skills Evaluations, and Employment References as required.
