What We Are Looking For:

AirGate Technologies is currently seeking a Professional Services Billing Coordinator who is detailed oriented and a self-starter to join our fast-paced professional services team. Reporting to the CEO or their designate, the Professional Services Billing Coordinator is responsible for the complete billing cycle. The role provides exceptional billing support in a timely manner both to internal and external clients.The ideal candidate will have a high level of organization skills, a keen attention to detail and strong customer service skills. The candidate must be able to work independently and in a team environment.

Job Summary:

We are seeking a detail-oriented and experienced Professional Services Billing Coordinator with a background in legal, accountancy, or professional services based billing. The successful candidate will be responsible for ensuring that billable hours on technology services engagements are accurately recorded, tracked, and invoiced to clients. This role is critical to maintaining the financial integrity of our projects and ensuring client satisfaction through precise and timely billing.

Key Responsibilities:

Billing Management:

Ensure accurate recording of billable hours across multiple technology services projects and clients.

Review and validate time entries, expense reports, and other billable items to ensure compliance with client contracts and internal policies.

Works closely with technical team members to ensure accurate time reporting.

Prepare and issue detailed invoices to clients, ensuring that all billed items align with contract terms and project deliverables.

Manage billing cycles and deadlines to ensure timely submission of invoices.

Financial and Project Reporting:

Reconcile billed hours with project budgets and financial forecasts.

-Assist in the preparation of time and project status reporting for customers and projects.

-Collaborate with the finance team to ensure accurate revenue tracking and reporting.

Client Communication:

-Serve as the primary point of contact for clients regarding billing inquiries, disputes, and adjustments.

-Provide detailed explanations of invoices, including breakdowns of hours worked, expenses, and other billable items.

Process Improvement:

-Identify opportunities for improving billing processes and implement best practices to enhance accuracy and efficiency.

-Develop and maintain documentation of billing procedures and guidelines.

Compliance:

-Ensure all billing activities comply with applicable legal, financial, and regulatory requirements.

-Maintain accurate records and documentation to support audits and reviews.

Qualifications:

Education:

-Bachelor's degree or Certificate in Accounting, Finance, Business Administration, or a related field. A legal or accounting background with a focus on billing is also acceptable.

Experience :

-Minimum of 3-5 years of experience in project billing, preferably within the legal, accountancy, or consultancy sectors.

-Experience with billing in technology services or project-based environments is highly desirable.

Skills:

-Strong proficiency in billing and financial software (e.g. QuickBooks, or similar).

-Excellent analytical and problem-solving skills.

-Strong attention to detail with a high degree of accuracy in billing and invoicing.

-Ability to manage multiple projects and meet tight deadlines.

-Exceptional communication and interpersonal skills, with the ability to work effectively with clients and internal teams.

- Ability to be a subject matter expert in project billing and to influence technical team members to ensure accurate timesheet entry and recording of billable hours.

- Knowledge of contract management and revenue recognition principles.

- Knowledge of timesheet software and principles.

Certifications:

- Financial or Accounting certifications are a plus.

- Legal billing certifications (e.g., CLM) are advantageous.

Work Environment:

- This role is hybrid with 2-3 days per week in the office and the rest working remotely.

Job Types: Full-time, Permanent

Pay: $50,000.00-$67,000.00 per year
