The Senior Human Resources Information Systems (HRIS) Specialist is Servus’s senior functional and technical practitioner for UKG and related people systems. The role combines advanced system administration with solution design, change governance, testing, integration oversight, security, and continuous improvement.

Working across People & Culture (P&C), Information Services, vendors, and other stakeholders, the role translates business needs into secure, maintainable, and user-focused solutions. It acts as the primary functional escalation point for complex HRIS issues and strengthens operational resilience through documentation, knowledge transfer, and backup capability.

What You'll be Doing: 

Ensure stable, secure, and effective system operations

• Administer advanced UKG configuration, foundational system data, security, workflows, business rules, and related system settings.


• Lead resolution of complex, recurring, cross-module, or cross-system issues and coordinate escalation with internal partners or vendors.


• Perform or oversee mass updates and other high-impact system activities using appropriate validation, reconciliation, and control practices.

Govern HRIS requests and system changes

• Assess and prioritize requests based on business value, complexity, urgency, risk, dependencies, and required approvals.


• Lead changes through requirements, solution design, configuration, testing, approval, implementation, communication, and closure.


• Maintain traceable records of requirements, decisions, approvals, testing, production changes, exceptions, and outcomes.


• Recommend whether requests should proceed, be redesigned, deferred, rerouted, escalated, or not proceed.

Design and implement people-system solutions

• Translate business, process, data, security, and compliance needs into clear functional and configuration requirements.


• Evaluate configuration, workflow, automation, integration, reporting, training, and process-change options.


• Recommend solutions based on user experience, business value, risk, effort, dependencies, scalability, and supportability.

Coordinate releases, testing, and implementation readiness

• Assess vendor releases and system enhancements for configuration, testing, communication, training, and stakeholder impacts.


• Develop or coordinate risk-based functional testing and user acceptance testing, including defect tracking and retesting.


• Evaluate unresolved defects, usability limitations, control gaps, and dependencies and provide implementation-readiness recommendations.


• Coordinate production implementation, post-deployment validation, stabilization, and required documentation.

Steward data, integrations, and organizational structures

• Govern foundational system data, including jobs, organizational structures, cost centres, locations, reporting relationships, and reference tables.


• Assess the downstream impact of changes on Payroll, workforce management, reporting, identity management, and other connected processes.


• Monitor and troubleshoot interfaces, APIs, SFTP feeds, synchronization processes, and related integration errors.


• Maintain data-quality, integration, and source-of-truth documentation and coordinate remediation of recurring issues.

Administer access governance, privacy, and compliance

• Administer role-based and privileged access using least-privilege and segregation-of-duties principles.


• Maintain evidence of access approvals, changes, exceptions, reviews, expiry dates, removals, and remediation.


• Assess privacy and security requirements for system access, test data, reports, extracts, integrations, and recurring distributions.


• Support audits, control reviews, regulatory changes, and remediation activities with internal partners.

Drive improvement, adoption, and project delivery

• Identify opportunities to improve system utilization, user experience, processes, controls, automation, and operational efficiency.


• Lead assigned HRIS workstreams and small-to-medium initiatives from discovery through stabilization and transition to support.


• Contribute system expertise to cross-functional P&C process-improvement and technology initiatives.


• Monitor outcomes and recommend whether functionality should be expanded, redesigned, retained, deferred, or discontinued.

Strengthen operational resilience and team capability

• Maintain current system, configuration, integration, testing, support, control, and procedure documentation.


• Identify single points of failure and establish documented primary and backup coverage for critical activities.


• Coach colleagues and functional administrators through knowledge transfer, cross-training, and reusable guidance.


• Maintain records of vendor decisions, known limitations, resolutions, workarounds, and reusable troubleshooting knowledge.

Experience and Education:

• Post-secondary education in Human Resources, Information Systems, Business Analysis, or a related field, or an equivalent combination of education and experience.


• Five or more years of progressive HRIS experience, including advanced configuration, testing, troubleshooting, change governance, and stakeholder consultation.


• Demonstrated experience leading significant HRIS changes, implementations, workstreams, integrations, or complex production issue resolution.


• Experience supporting integrated P&C processes such as Payroll, workforce management, recruiting, onboarding, learning, performance, compensation, or reporting.


• Advanced knowledge of UKG Pro configuration and working knowledge of the UKG modules relevant to Servus.


• Strong knowledge of HRIS security, access governance, testing, data quality, integrations, privacy, auditability, and internal controls.


• Advanced analytical and data-validation skills, including Excel and familiarity with APIs, SFTP, interface tools, automation, and reporting environments.


• Strong systems thinking, solution design, planning, communication, documentation, stakeholder engagement, and problem-solving skills.

Licences and Certifications:

• UKG, HRIS, business analysis, project management, data governance, security, or change-management certification is an asset.

  Other Role Requirements:

• Knowledge of P&C practices, Payroll and workforce-management dependencies, privacy obligations, and internal controls.


• Demonstrated ability to provide responsive and thoughtful service while maintaining system integrity and organizational standards.


• Work arrangement: Hybrid.


• Occasional work outside regular business hours may be required to support critical incidents or scheduled system changes.


• The business may from time to time ask for branch and/or department support for special projects and/or areas experiencing staff shortages. All employees may be asked to volunteer to assist in areas of need during these times. These assignments could result in a change of hours, location, and/or travel.
