Impact Statement

The Gifts Processing Manager is part of the fundraising Systems team and reports directly to the Senior Manager of the Fundraising Systems. The manager is responsible for overseeing all aspects of offline and selected online donation processing to ensure timely, accurate, and donor-centered data entry. This role manages the gifts processing unit, that consists of 2 data entry coordinators, and plays a key function in maintaining data integrity, supporting financial reconciliation, and ensuring the smooth flow of gifts such as cheques, wire transfers, share donations, and other offline contributions. They also serve as the primary operational lead for the organization’s data-entry services partner, KCK, ensuring a smooth, consistent, and high-quality collaboration across all shared processes.

This role will also liaise with other MSF departments, collaborating closely with Finance, Office administration, and vendors on various campaign analysis, systems, and reporting.

MSF Canada is looking for someone who will be responsible for the following:

Operational Support

• Manage end-to-end processing of offline gifts including cheques, wire transfers, share donations, cash gifts, corporate and foundation gifts, and third-party submissions

• Oversee donor record accuracy and gift batch completeness in the CRM

• Ensure proper coding, documentation, and the entire tax receipting process

• Support reconciliation and data quality for online donations

• Serve as primary point of contact for the external data-entry partner, KCK

• Oversee daily operations, performance standards, and service-level expectations

• Ensure adherence to data standards and quality-control protocols

• Conduct regular audits to maintain accuracy and compliance

• Support privacy, tax receipting, and audit requirements

• Identify workflow efficiencies and modernization opportunities

• Maintain and update Standard Operation Procedures, including external partners processes

• Support new systems, integrations, and automation initiatives

• Coordinate with Finance on reconciliation and reporting

• Support Donor Relations with acknowledgements and stewardship

• Assist fundraising teams with gift coding and donor inquiries

Team Management

• Lead in the hiring and development of the team members to achieve their goals, establishing trust, respect, recognition and mutual accountability in a high performance, collaborative environment

• Oversee daily workload distribution and ensure timely processing of all gifts.

• Conduct regular check-ins, performance evaluations, and trainings.

• Ensure responsible use of resources, including accountability for budget, recommending new strategies or drafting proposals in anticipation of future needs

Relationship building and team orientation

• Recommend changes to policy and workflow to improve data processes and best practices

• Collaborate with colleagues from Fundraising Systems unit to ensure that the data is clean and ready to use

• Education or training in Fundraising, gift processing, or a combination of training and relevant experience.

• Detail-oriented, organized, and capable of managing multiple projects simultaneously.

• Experience with Raiser’s Edge / RE NXT or similar CRM.

• Familiarity with philanthropic environments or nonprofit fundraising best practices.

Education, Certifications and Languages

• Proficient in English

Working conditions:

• Work is generally carried out during the day, Monday to Friday (9:00 a.m. to 5:00 p.m. Eastern Time)

• Hybrid work model (60% in MSF Canada office and up to 40% work from home) 

• Office environment is open concept, and workspace is shared with colleagues

• Workstations consist of sit/stand desks, anti-fatigue floor mat, swivel chair, laptop with dock and double monitor

Salary Grade: Level 16 on the MSF Canada Salary Grid, $87,850 (non-negotiable)

Location: Toronto or Montreal
