Job Summary A Brief Overview

Reporting to the Manager, Student Services, the Academic Program Coordinator is responsible for carrying out complex administrative tasks associated with data administration in support of the Faculty of Education programs. This includes documentation and process mapping, timetabling, registration processes, enrolment, tracking student progress, reporting, and room booking. The Academic Program Coordinator will assist in creating and maintaining digital forms; set up, maintain, and be responsible for the administration of placement and case databases; provide administrative support with office processes, including placement confirmations, assessment verification, and honoraria payment processes; verify and track teacher candidate compliance with regards to WSIB, Health & Safety, and VSS police check procedures, OCASP, as well as any new training required by the district school boards prior to placements. This position requires a high level of attention to detail to perform quality assurance review, ensuring accuracy and integrity of data. It requires an in-depth knowledge of database structures, Customer Relationship Management systems, and querying relational databases. Knowledge of PeopleSoft (Student) is preferred. This position builds database queries to generate relevant information, and interpret and communicate results. This position produces data for information requests. This position audits database to ensure to data accuracy and quality. This position also drafts various electronic forms, mail templates, and report templates.

What you will do

    Produces data for both ad hoc and routine information requests such as annual reports and monthly reports. Audits database to ensure to data accuracy and quality. Acts as a resource to others on data collection methods and database management. Drafts various electronic forms, mail templates, and report templates.
  • Serves as the departmental contact for program participants, providing resources and/or advice on program details.
  • Coordinates student enrollment, evaluates student transcripts, and ensure registrations are processed to meet deadlines.
  • Coordinates practicum placements for teacher candidates with school boards and other external agencies.
  • Evaluates practicum placements to ensure they fulfil program and Ministry of Education requirements.
  • Other duties as required in support of the department and/or unit.
Required Education
  • Three-year Community College Diploma or Three-Year Bachelor Degree, or equivalent.
Required Experience
  • More than 2 years and up to and including 3 years of experience.
    • Experience in client and/or customer experience functions considered an asset.
    • Experience in data, trend analysis and reporting considered an asset.
    • Experience with providing administrative support considered an asset (e.g., document editing, proofing, formatting and production, data entry, scheduling/coordinating meetings and/or travel arrangements, receiving/relaying messages, etc.).
    • Experience with software and web technologies considered an asset (e.g., ServiceNow, Customer Relationship Management (CRM), other software packaging, etc.).

  • Identify new problems and seek information and input to fully understand the cause of problems.
  • Identify opportunities to improve the effectiveness and efficiency of work processes.
  • Draw logical conclusions and provides opinions and recommendations.
