Position Overview
Surrey Police Service (SPS) has an exciting opportunity for a regular full-time Court Services Clerk (Clerk 3) to join our Court Services Unit in the Information and Evidence Management Section, within the Corporate Services Bureau. Reporting to the Court Services Manager and under the supervision of Court Services Supervisor, the Court Services Clerk provides administrative support to Court Services by sorting and processing incoming court documentation, actioning requests from the Court Registry and other stakeholders, and completing routine court-related administrative tasks.

The position plays an important support role in the Court Services Unit’s workflow and helps ensure documentation and information are processed accurately in timely manner to support police, Crown Counsel and court requirements. The work involves moderately complex and diversified clerical duties and requires independent judgement and initiative within defined guidelines.

Schedule / Hours of Work
The anticipated schedule for this position is Monday to Friday (35 hours per week). Please note, the hours are subject to change based on operational needs and adherence to the Collective Agreement.

Responsibilities

• Receives, sorts and processes incoming court documentation.
• Sorts and conducts initial review of various documentation for completeness, accuracy and priority, and prepares files for further processing by Court Liaison Officers.
• Updates and maintains information in police and justice systems and software, including PRIME and JUSTIN.
• Processes and distributes court notifications and other correspondence, including summonses, subpoenas and LENS.
• Handles bail money, court mail and other administrative duties in accordance with established procedures.
• Provides information and liaises with police members, Court Liaison Officers and other internal and external partners to support court-related processes.
• Prepares and assists in organizing and assigning classifications or numerical designations to documents and records.
• Maintains records, including data collection, maintenance, reconciliation, and balancing without requiring advanced accounting techniques.
• Provides advice and guidance to staff on new procedures and atypical issues.
• Explains departmental regulations and procedures as required.
• Assists other staff in their duties as needed.
• Performs related duties as required.

• Knowledge in business communication, office protocols, procedures, and equipment usage.
• Proficient in managing moderately complex records, efficiently generating reports, and performing precise calculations.
• Knowledge of filing and record keeping methods.
• Ability to follow routine procedures with minimal supervision.
• Provides accurate and factual information to others.
• Ability to establish and maintain effective working relationships with the public and staff.
• Ability to train and provide guidance to staff on existing procedures.
• Compile and prepare statistical reports and tabulations.
• Demonstrates strong public relations and interpersonal skills.
• Familiarity with relevant work-related software and applications.
• Knowledge of Surrey Police Service (SPS) policies, procedures and standards.
• Working knowledge of the Department's operation, procedures and safety regulations.
• Must be able to obtain and maintain the relevant level of security clearance throughout employment with SPS.

Qualifications

• Completion of Grade 12, supplemented by several courses in office administration or other related courses.
• Minimum 2 years experience in an office environment.
• Minimum typing speed of 40 words per minute is required.
• An equivalent combination of education and experience may be considered.
• This position requires both SPS Security Clearance and RCMP Reliability Status. All applicants must obtain and maintain the required police security clearance throughout their employment with SPS, which includes a mandatory polygraph examination.

• This is a unionized position, represented by CUPE 402.
• The compensation range is $32.26/hour to $34.25/hour (pay grade 12) based on 2026 rates.
