Position Summary

As a member of the Staff Scheduling Team, reporting to the Staff Scheduling Manager, the Staff Scheduling Associate supports the day-to-day staff scheduling needs for their assigned portfolio and assists with other areas across Quinte Health as requested. The incumbent will work independently and be a contributing member of the Staff Scheduling Team. The Staff Scheduling Office operates days and evenings, seven (7) days per week, 365 days per year. The Staff Scheduling Associate will be responsible for creating, updating and maintaining schedules and records for payroll processing, proactively managing staffing in a collaborative effort with leaders to balance staffing across the organization, and completing employee shift call-outs and awards for their assigned areas. This temporary contract is for approximately 15 months.

Required

• Post-secondary education in Business/Office Administration, or equivalent combination of education (minimum of grade 12) and working experience
• Must have demonstrated typing and other basic clerical skills including advanced Microsoft Office programs experience
• Must have an understanding of working within the parameters of collective agreements
• Minimum of 3 years' previous experience in an administrative and customer service-oriented role
• Demonstrated ability to work in a team environment

Duties

• Creates unit schedules within timelines and collective agreement language
• Works collaboratively with department leaders and confers with Managers and Clinical Operations regarding staffing and scheduling requirements to ensure all units are appropriately staffed
• Works positively and effectively as a team member within the Corporate Staff Scheduling Team,
• Completes employee shift call-outs to schedule needs and maintains and updates shift call-out records,

• Maintains and enters schedule changes and updates as required throughout the schedule period. • Provides interpretation, with HR assistance, of collective agreement language pertaining to scheduling, staffing, overtime and premium situations

• Develops and generates reports through the collection and analysis of data utilizing the automated shift call-out and scheduling platforms (Vocantas and UKG)
• Promotes and implements appropriate procedures for efficient workflows and continuous improvement
• Other duties as assigned
