Job SummaryJOB SUMMARY:
Reporting to the Director, Corporate Relations, the Program Coordinator will be responsible for supporting internship students through the internship-for-credit lifecycle from admission to completion of the internship. The Program Coordinator will work closely with students enrolled in Smith Business Master’s programs including Master of Business Administration (MBA), Master of International Business (MIB), and Master of Management Analytics (MMA), participating employers, and Smith Business academic programs. The Program Coordinator will provide operational and student-facing support to ensure graduate students successfully secure, prepare for, and complete internships-for-credit, while maintaining strong employer partnerships and program compliance. This includes ensuring proper documentation and milestones are completed within required timeframes, and working with stakeholders to facilitate support for students throughout the internship with academic deliverables. This position is based out of Toronto, Ontario and is eligible for a hybrid work agreement. Job Description
KEY RESPONSIBILITIES: Program Onboarding & Administration
• Serve as the first point of contact for students interested in the internship-for-credit program.
• Maintain program documentation including policies, guidelines, timelines, employer forms.
• Coordinate contracts and agreements between students, employers, and the university.
• Track enrollment and ensure proper registration in Student Portals. Student Preparation & Development
• Support coaching team to coordinate pre-internship workshops.
• Administer pre-internship orientation sessions covering compliance, reporting, and professional conduct.
• Promote coaching services offered to students, including preparation of resumes, cover letters, and interview support.
• Ensure students are indicating preferences and completing profiles to assist the Corporate Relations team target functions and companies for internships.
• Produce reports for the Corporate Relations team on student profiles and preferences to support the functions and companies targetted for internships.
• Work with domestic or international students to ensure they have proper documentation to work. Employer & Partner Engagement
• Act as a liaison between employers, faculty supervisors, and students.
• Support employers in understanding the academic component of the program, including learning outcomes, assessment, and expectations.
• Support the Corporate Relations team and Relationship Managers to post internship roles during key internship recruitment seasons.
• Promote Career Advancement Centre (CAC) services to employers such as job and event postings, interview scheduling and resume book searches to help identify talent.
• Troubleshoot issues between employer and student, escalating to faculty/program and CAC leadership where necessary.
• Support virtual or in-person internship events, including networking and coffee chats. Program Management During Internship
• Ensure smooth onboarding and completion of employer agreement, bringing any employer issues or concerns to the attention of the Corporate Relations Team.
• Monitor student progress through check-ins, surveys, mid-point, and final evaluations.
• Collect and track internship assignments and progress reports.
• Ensure timely submission of employer evaluations and integration into academic assessment.
• Maintain program data and dashboards for reporting to program and CAC leadership. Post-Internship & Program Evaluation
• Support faculty in grading by compiling employer evaluations and student deliverables.
• Gather feedback from students and employers to inform program improvement.
• Contribute to annual program review and accreditation reporting requirements.
• Ensure employers have final documentation, including Ontario Tax Credit letters. Other duties as assigned by the Career Advancement Centre on an as-needed basis. This may include providing support to other Experiential Learning initiatives. REQUIRED QUALIFICATIONS:
• Four-year bachelor’s degree or equivalent.
• Advanced level of proficiency in programs such as Word, Excel, PowerPoint, Outlook, & various databases, with ability to manipulate data and learn new software and programs.
• Knowledge of experiential learning pedagogy and assessment.
• A familiarity with the university and its operating procedures considered an asset.
• Consideration will be given to candidates with the equivalent combination of education and experience. SPECIAL SKILLS:

• Determine how best to communicate with internal and external clients.
• Determines when to resolve issues and when to direct to more senior or specialized staff as required. Provides follow-up as necessary, ensuring matters are addressed or concluded.
• Prioritizes a demanding workload and effectively manages time to ensure all deadlines and objectives are met.
• Decides how to obtain sector specific knowledge and the best method for transferring information to stakeholders.
• Identifies areas for improvement and make recommendations for consideration.
