Full-Time Position Title: Records Management Specialist

Location: Calgary (Hybrid)

Reporting to: Manager, Business Services

Key Areas of Accountability and Responsibility

• Records Management
  • Provide leadership in the development and implementation of records management policies and procedures.
  • Lead the organization in maintaining compliance with records management regulations and standards.
  • Develop and manage the records retention schedule.
  • Assist the IT Manager in access control processes.
• Support and Maintenance
  • Support departments in the proper classification and storage of records.
  • Maintain the integrity and confidentiality of records.
  • Create and manage a system for tracking and retrieving records.
  • Oversee the maintenance of records at an intermediate level, ensuring accuracy and accessibility.
• Evaluation and Improvement
  • Undertake regular audits of records management practices.
  • Evaluate the effectiveness of records management systems and recommend improvements.
  • Provide training and support to staff on records management best practices.
• FOIP Requests Management

• • Manage and coordinate FOIP requests with Legal Counsel, ensuring compliance with relevant legislation.
  • Serve as the primary point of contact for FOIP inquiries and requests.
  • Maintain accurate records of FOIP requests and responses.
• Special Projects
  • As required, and as appropriate, create and apply new records management strategies.
  • Develop and adopt innovative solutions to improve records management processes.
  • Serve as a liaison between departments to ensure cohesive records management practices.

• Advanced education in records management, information science, or a related field.
• Minimum of6+ years of experience working with records management systems.
• Proven ability to develop and implement records management policies and procedures.
• Advanced proficiency with Microsoft Office Suite (e.g., Excel, Word, Visio, PowerPoint, Outlook, SharePoint).
