Systems and Equipment Supervisor

Located in central Ottawa, Ashbury College is seeking a full-time, permanent Systems and Equipment Supervisor to support Ashbury College’s educational mission by leading the safe, efficient and reliable operation of campus building systems, life-safety infrastructure and technical equipment. The role combines hands-on technical expertise with team supervision, preventive maintenance, digital systems administration, contractor oversight and project management in an active day and boarding school environment.

You’ll report to the Facilities Manager and supervise members of the Operations Team as assigned.

Minimum Requirements

• Certificate of qualification in a relevant skilled trade, building-systems technology diploma, engineering technology credential, or an equivalent combination of education and experience
• At least five years of progressive experience operating and maintaining complex building systems and equipment, including demonstrated experience supervising staff and contractors
• Demonstrated experience delivering technical renewal, equipment-replacement or controls projects in occupied facilities; experience in a school, institutional, heritage or campus environment is an asset.
• Strong knowledge of HVAC, electrical, plumbing, controls and fire/life-safety principles, preventive maintenance and applicable codes, standards and occupational health and safety requirements
• Knowledge of system impairment procedures, lockout/tagout and contractor safety
• Ability to lift up to 25 kg and to safely use required personal protective equipment, tools and equipment
• Valid Ontario Class G driver’s license with an acceptable driving record
• Current WHMIS and First Aid/CPR, or willingness to obtain; additional role-related safety training may be required
• Successful completion of required background screening, including a Vulnerable Sector Check, as a condition of employment

Preferred Qualifications

• A project-management credential is an asset
• Trade licenses or certifications relevant to assigned work are assets
• Strong project-management skills, including scope, schedule, budget, risk, procurement, shutdown, stakeholder, change, commissioning and quality management
• Advanced comfort with BAS, alarm and monitoring interfaces, computerized maintenance-management systems and connected equipment; experience with Asset Essentials is an asset
• Strong working knowledge of Microsoft 365, particularly Excel, Outlook, Teams and Word; able to analyze trends, maintain asset and compliance data, and prepare concise technical reports
• Ability to interpret drawings, single-line diagrams, control sequences, specifications, manuals, quotations and contracts and to maintain disciplined version-controlled records
• Fluency in languages in addition to English would be an asset

Specific Responsibilities Include

• Plan, prioritize, assign, supervise, and participate in inspection, preventive maintenance, troubleshooting, repair and renewal of building systems and equipment.
• Oversee systems including HVAC, boilers, chillers, pumps, plumbing, electrical distribution and lighting, building automation, generators and emergency power, fire alarm and sprinkler interfaces, security and alarm-monitoring interfaces, card access, CCTV infrastructure, elevators and lifts, and school-owned kitchen or food-service equipment, as assigned.
• Operate and monitor the Building Automation System (BAS) and other approved platforms; review alarms, trends, schedules and setpoints; investigate irregular performance; optimize comfort and energy use; and maintain appropriate access and change records.
• Develop and maintain risk-based preventive-maintenance programs, compliance calendars and equipment logs. Ensure inspections, testing and corrective work are completed and documented at required intervals.
• Use Asset Essentials or other approved computerized maintenance-management systems to manage requests, assets, preventive maintenance, labour, materials, warranties, service levels and performance reporting.
• Lead assigned system-renewal and technical projects from planning through close-out, including condition review, scope development, estimates, schedules, procurement support, shutdown planning, coordination, commissioning, training and turnover documentation.
• Coordinate licensed contractors, consultants and authorities having jurisdiction; verify qualifications, permits, site orientation and safety requirements; monitor scope, quality, cost and schedule; and confirm deficiencies are resolved before recommending invoice approval.
• Maintain accurate digital records including asset information, drawings, sequences of operation, specifications, manuals, passwords or access records in approved secure locations, inspection certificates, commissioning reports, warranties and service histories.
• Coordinate shutdowns, system changes and access with IT, Security, Facilities, Food Services, Boarding, Athletics, Rentals and other stakeholders to protect school operations and minimize disruption.
• Support emergency response and business continuity for fire/life-safety alarms, flooding, loss of heating or cooling, electrical interruptions, equipment failures and other urgent conditions. Participate in the on-call or after-hours response rotation as assigned.
• Identify lifecycle risks and renewal priorities; contribute technical information, cost estimates and recommendations to annual operating and multi-year capital plans.
• Support energy-management and sustainability initiatives through system optimization, metering, trend analysis, efficient equipment selection and verification of performance.
• Provide clear daily direction, establish performance and safety expectations, verify completed work and foster a respectful, service-oriented and collaborative team culture.
• Develop schedules and coverage plans, approve or verify time records within delegated authority, and adjust work based on alarms, failures, school activities and project needs.
• Coach staff in safe work practices, lockout/tagout, equipment operation, digital work-order processes, documentation and customer service; identify required training and certifications.
• Participate in recruitment, onboarding, performance feedback and workflow improvement in collaboration with the Facilities Manager and Human Resources.
• Stop unsafe work and ensure hazards, incidents, near misses, system impairments and corrective actions are immediately communicated, documented and addressed.
