Clinic Office Manager
:
The Clinic Office Manager is responsible for managing a variety of administrative and clerical tasks to support smooth operation of the clinic and manage customer relations. This role is crucial in ensuring that both the client and staff experience efficient and effective service.
Key Responsibilities:
Invoicing/Billing
- Create and send out weekly invoices to clients.
- Manage accounts receivable.
- Track payments and follow up on overdue accounts.
Client Communication:
- Answer incoming calls and respond to inquiries about our services.
- Follow up with new intakes to complete the necessary paperwork and schedule an initial consultation.
Scheduling:
- Schedule tours for prospective clients and their families with the Clinical Supervisor.
- Manage the day to day schedule such as organizing lunches and breaks for staff.
- Update all calendars based on daily changes.
Inventory and Supplies Management:
- Oversee inventory.
- Ensure supplies are well-stocked and order new supplies as needed.
- Stay within budget for all supply purchases.
Qualifications:
- Associate's degree in Business Administration or related field; Bachelor's degree preferred.
- Proven experience in an administrative or coordinator role, preferably within a healthcare or educational setting.
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Proficiency in Quickbooks and Google Suite
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with scheduling software.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Experience using CRM systems.
Preferred Skills:
- Experience in a healthcare setting, particularly with ABA therapy or similar services.- Knowledge of ethical billing practices under the CPBAO (College of Psychologists and Behaviour Analysts).- Strong problem-solving skills and the ability to work independently.- Customer service orientation with a positive and professional demeanour.

Pay: $50,000.00-$60,000.00 per year
