Smartsheet Administrator

The Smartsheet Administrator reports to the Mechanical Department Manager at the Rally Head Office. This role is a 16-month contract (with possibility of extension) on site in Redwater, Alberta for a turnaround.

Key Responsibilities & Duties:

· The Turnaround Smartsheet Administrator is responsible for the development, maintenance, and troubleshooting the design and development of comprehensive Smartsheet tracking system for inspecting pressure equipment.

· Develop platform to be used for tracking PSV's, Exchangers, Control Valves and Instrumentation.

· Preliminary data loading and data reconcile.

· Maintain dashboards and reports for management to monitor inspection status, trends, and compliance.

· Develop training materials, including user manuals, guides, and tutorial videos, to assist users in navigating the Smartsheet application.

· Conduct training sessions for new and existing users to ensure they are proficient in using the tracking system.

· Provide ongoing support to suers, addressing queries, issues, or enhancement requests.

· Liaise with internal stakeholders to understand their needs and incorporate feedback into Smartsheet.

· Provide regular updates to stakeholders on the status and performance of the tracking system.

· Coordinate with IT and other departments to resolve any technical issues or integrate new features.

· Support Turnover, Cleaning, Pressure Integrity, and Scheduling departments.

· Act as a hub between personnel, contractors, and third-party speciality vendors.

· Tablet management and support.

· Deliverable receipt and database updates.

· Generating completed travel sheets for turnover document retention.

· Report distribution.

Qualifications - Education, Skills and Experience:

· Graduation from an Administrative program; or equivalent years of experience.

  • Expertise with MS Office (Outlook, Word, Excel)
  • Soft skills - such as communication, multi tasking, shifting priorities, meeting deadlines, leading, training, coaching, organizing, customer services, teamwork, collaboration, etc.
  • Ability to work in a fast-paced environment
  • Willing to work overtime, as required.
