Office Projects Lead

Job Responsibility: Industrial Measuring Systems, Inc. is seeking an Office & Projects Lead to assist in the ongoing support of the accounting and project management needs of the company. This role requires a candidate who is comfortable working independently and feels confident managing multiple deliverables simultaneously. Working within a highly technical industry, this role will require a strong understanding of English (both written and oral). This role is 100% in office (Etobicoke), with no opportunity for remote. Key Responsibilities – Accounting - Monthly credit card and bank reconciliation (Bank accounts in CAD, USD, EUROs)- General ledger AP & AR deferred revenue - Monthly payroll management - Analyze Trial Balance, Balance Sheet, Income Statement, Inventory tracking and account reconciliation - Regular government filings (GST, HST, WSIB)- Indiana Sales Tax – annual filing of sales tax exemption - Group benefits administration (Manulife Financial)- Process employee expenses - Prepare accounting records for fiscal year end, submit the package to BDO and post adjusting entries as provided by BDO - Assist Ernst & Young in compiling data for SR & ED claims - Prepare other financial, statistical and custom reports and analyze, as needed Key Responsibilities – Project Operations - Provide thorough, well-organized administration support and client care - Identify opportunities for process improvements - Handle all project administration to assist the Project Managers within the following: o Project Coordination: manage timelines, schedules and resources to keep projects on schedule and within scope o Financial Management: track expenses and quotations, process invoices and support the management of budgets o Resource Management: ensure necessary resources are organized (personnel, materials, equipment) o Meeting Management: schedule meetings, prepare agendas, take minutes and track action items o Documentation: create maintain and organize project documentation, reports and records, exports and imports recording o Communication: facilitate communication between team members, stakeholders and clients o Risk Management: identify potential risks and mitigation strategies Qualifications and Skills - Relevant post-secondary diploma or degree in accounting or business - required - Strong working knowledge of Quickbooks (Online) – required - 5+ years of project accounting experience – required - Familiarity with Wagepoint or similar payroll processing system - Strong understanding of project management principles (project life cycle and methodologies)- Ability to maintain confidential information - Strong multitasking skills and an ability to establish priorities - Strong command of professional-level English - Proficient in multiple communications software (Office, Slack, Teams, Google for Business, Google Docs, etc) About Industrial Measuring Systems, Inc.
