Branch Admin (Invoicing)

What We Expect - Perform administrative support for branch operations, including responding to customer inquiries and redirecting them as needed
- Perform AR & AP duties for all lines of business (LOB), issue correspondence to customers regarding overdue accounts, address customer inquiries, create purchase orders (as required), and gather appropriate documentation on behalf of the Collections Department
- Prepare and process monthly invoicing for all Lines of Business (LOB)
- Reconcile credit card statements by tracking receipts and preparing statements for management approval
- Prepare and process weekly bank deposits
- Support customer account setup and provide ongoing general account administration
- Track, update, and process field personnel hours, payroll, and related documentation to ensure accuracy, as required
- Coordinate insurance coverage for all LOB
- Maintain and manage project files, including opening, updating, closing, and ensuring proper tracking
- Maintain accurate data entry and filing (physical and digital)
- Request, submit, and track Technical Safety BC (TSBC) inspections, as required, including ordering unit numbers for construction projects, processing TSBC invoices, and monitoring TSBC correspondence to ensure timely communication with appropriate stakeholders
- Provide requested paperwork for job starts as well as TSBC inspections, as required
- Communicate regularly with the head office
- Perform other duties as assigned
Who we are looking for
- Diploma in Business or Office Administration
- A minimum of 2 years of relevant experience
- Attention to detail coupled by the ability to multi-task
- Excellent communication skills paired with the inherent ability to prioritize and organize tasks
- Proven ability to manage conflict, coupled by the ability to work collaboratively
- Ability to adapt to change in a fast-paced, high volume, work environment
- Resourceful, self motivated and able to network within the organization to determine best practices
- Proficient in Microsoft Office; Word, Excel, PowerPoint, Oracle
