Front Desk Secretary

Job Responsibility:
Job Summary We are looking for a diligent full-time secretary to join our company's Mississauga office. The ideal candidate will be the first point of contact for our clients, providing exceptional customer service and support in an office environment. Candidates must possess the ability to work efficiently, pay attention to details and multi-task.
Responsibilities:
- Answer, screen, forward phone calls and operate switchboard in a timely manner
- Welcome and greet visitors at the front desk in a professional manner
- Deal with queries and providing correct information via phone calls and emails
- Schedule and confirm showing appointments
- Prepare real estate legal forms and documents such as offers and listings
- Ensure the accuracy of all documents before uploading and distributing
- Report real estate transactions to TRREB (Toronto Regional Real Estate Board)
- Prepare Branch Manager folder with material for review/signature
- Perform daily office opening and closing procedures
- Ensure reception area is tidy and presentable at all times
- Set up and maintain paper and electronic filing systems for records, correspondence and other material
- Perform clerical duties such as distribution of mail, faxes, deliveries and other materials received
- Accept and deposit bank drafts to designated banks
- Order front office supplies and keep inventory of stock
- Prepare and submit secretaries' payroll to accounting department
- Schedule part-time secretaries
- Provide training and coach new staff
- Report office equipment malfunctions to the I.T. and Operations Department
- Perform such other activities as called upon
Requirements:
- Possess excellent customer service skills and strong computer skills
- Able to attend a 2-weeks training in the head office, located at 8 Steelcase Rd W, Markham, ON L3R 1B2, Monday-Friday at 9am-5pm
- Fluent in Cantonese or Mandarin is an asset
Job Types: Full-time, Permanent
Pay: From $17.20 per hour
