Located on Vancouver Island just 50 km north of Victoria and 30 km south of Nanaimo, the Cowichan Valley Regional District (CVRD) is in the ancestral and unceded territories of First Nations including the Quw'utsun, Malahat, Ts'uubaa-asatx, Halalt, Penelakut, Stz'uminus, Lyackson, Pauquachin, Ditidaht, and Pacheedaht Nations. Local First Nations Peoples have stewarded the lands, waters, plants, and animals of this region since beyond time immemorial. The CVRD provides a wide range of local government services to a population of 95,000. The picturesque Cowichan Valley offers a warm climate and numerous parks, recreational, cultural, and social opportunities such as majestic mountains, the rugged West Coast Trail, serene lakes, and one of the world’s tallest free-standing timber rail trestles.

The Cowichan Valley Regional District is now accepting applications for the regular full-time Secretary III position in the Legislative Services Division within the Corporate Services Department.

General Information
Reporting to the Deputy Corporate Officer, the Secretary III is responsible for performing receptionist and administrative support services for the Legislative Services Division. Work includes the preparation/distribution of agendas, taking/transcribing minutes, providing information and assistance related to Division activities and meeting management software, document tracking, website updates, special projects, word processing assignments, data entry, mail, and filing.

Qualifications
  • Secondary school graduation plus completion of a minimum 6 month office administration certificate from an accredited educational institution.
  • Four (4) years of related experience including a minimum two years acting as a recording secretary to committees, council, boards, or commissions, preferably at the local government level.
  • Experience using meeting management software would be an asset.
  • Enrolment/completion in a certification program involving Local Government Administration, Public Administration, Business Administration or a related field.
  • An equivalent combination of education, training, and experience may be considered.

Hours of Work: Guaranteed 35 hours of work per week, Monday to Friday, 8:30 a.m. to 4:30 p.m. and eligible for flextime. This position may be required to attend some evening and weekend meetings.

Where operationally appropriate and subject to change, the CVRD has a Work From Home program. This program allows staff to work remotely, with the number of remote days per week determined by operational requirements, from locations that are a daily commutable distance from their work at a CVRD worksite. This position works from the CVRD's main office in Duncan, BC, and at this time, is eligible to be part of the Work From Home program, potentially working a hybrid in-office / remote schedule after a successful in-office training period. Please note, this is not a fully remote position – regular in-office presence is required.

Salary: Wage rate in 3 steps as per the Collective Agreement between the CVRD and CUPE Local 358, $35.74 - $36.77 - $37.86 per hour (January 1, 2025 rates). Benefits and vacation are included as per the CUPE Collective Agreement.
