Office Assistant Manager

Job Responsibility:

Position Overview: We are seeking a highly organized and proactive individual to join our team as an Office Assistant Manager. This role will play a critical part in ensuring smooth operations within our office environment and providing comprehensive assistance to our CEO and Office Manager. The ideal candidate will possess exceptional communication skills, strong attention to detail, and the ability to manage multiple tasks efficiently.

Key Responsibilities:

Office Assistance:

  • Provide high-level administrative support your executive, including calendar management, scheduling meetings, and coordinating travel arrangements.
  • Prepare and organize documents, reports, and presentations for executive meetings and appointments.
  • Act as a liaison between your executive and internal/external stakeholders, handling correspondence and inquiries promptly and professionally.
  • Maintain office supplies inventory by checking stock, anticipating needs, placing orders, and verifying receipt of supplies.
  • Maintain office cleanliness and organization, including common areas, meeting rooms and grocery orders.

Events Assistance:

  • Create and manage event strategy plans, proposals, recommendations, and outside vendor statements of work and contracts.
  • Own event sponsorship, registration, technology, venue and food/beverage planning, signage, accommodations, property sourcing, selection and contract negotiations, vendor/customer relations, and other logistics & administrative tasks.
  • Schedule all travel including flights, hotel and venues.

Qualifications:

  • Proven experience as an office Assistant or office administrator, preferably in a fast-paced environment.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  • Excellent communication skills, both verbal and written, with a professional and courteous demeanor.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.
  • Detail-oriented with a high level of accuracy in all tasks.
  • Proactive problem solver with a positive attitude and a willingness to learn.

This position is 5 days in office - no hybrid or remote option offered.

Job Type: Full-time

Pay: $60,000.00-$65,000.00 per year
