PI Legal Assistant, Tort

Are you an experienced Tort Legal Assistant looking to join one of Ontario’s most respected personal injury litigation teams? Our client is seeking a highly organized and detail-oriented professional to support a busy Partner and Law Clerk handling complex tort and catastrophic injury matters.

This is an opportunity to work on challenging files within a collaborative firm that is part of the Personal Injury Alliance, alongside some of Ontario’s leading plaintiff-side personal injury firms.

About the Role

You will provide comprehensive legal and administrative support on a high-volume tort litigation practice consisting primarily of serious injury and catastrophic impairment files. Working closely with a Partner and senior Law Clerk, you will play a critical role in ensuring files progress efficiently and deadlines are met.

The ideal candidate is someone who thrives in a fast-paced environment, can confidently manage competing priorities, and remains calm under pressure while maintaining exceptional attention to detail.

Key Responsibilities

• Prepare and revise a variety of litigation documents, including Affidavits of Documents, Notices of Examination, Discovery Plans, Trial Records, Motion Confirmations, Affidavits of Service, and other court materials.
• Draft and send correspondence to clients, opposing counsel, medical professionals, insurance companies, and other stakeholders.
• Coordinate the service and filing of court documents with process servers and court offices.
• Schedule examinations for discovery, mediations, motions, pre-trials, trials, settlement discussions, and client meetings.
• Manage and maintain calendars, court deadlines, and limitation periods.
• Act as a liaison between lawyers, clerks, clients, and external parties regarding file progression and status updates.
• Request, track, and fulfill undertakings.
• Assist with billing, invoice management, and file administration.
• Maintain accurate file documentation and ensure compliance with court procedures and deadlines.
• Utilize legal technology, including FileVine and emerging AI tools, to support file management and workflow efficiency.

What We're Looking For

• Previous experience as a Legal Assistant in plaintiff-side or defence litigation, preferably with exposure to tort and personal injury matters.
• Strong understanding of litigation procedures and court processes.
• Exceptional organizational skills and the ability to manage a high-volume workload.
• Proven ability to prioritize competing deadlines and effectively communicate workload challenges when necessary.
• Strong attention to detail and ability to work independently.
• Excellent written and verbal communication skills.
• Proficiency with legal software and Microsoft Office applications; experience with FileVine is considered an asset.
• Resilient, adaptable, and comfortable working in a demanding, deadline-driven environment.

Compensation & Benefits

• Salary: $60,000–$85,000, depending on experience.
• Comprehensive benefits package.

• Office closure between Christmas and New Year's.

Work Arrangement

• Full-time, in-office onboarding during the first three months.
• A hybrid schedule is available after onboarding, with work-from-home Mondays and Fridays.
