General Accountabilities

• Provide support to the CSS program, the inspection business and Inspectors in the regional offices. Extract data from a variety of databases and use standard office spreadsheet, database and word processing software to provide information and produce regular and ad hoc reports as requested. Arrange for meeting rooms and provide information on presenters and participants. Take minutes as requested.

• Provide service to customers on the CSS program in a way that builds positive, effective customer relations and maintain a good working relationship with Inspectors and other internal staff. Process amendments and renewals to CSS existing contracts as assigned. Refer customers’ questions on other ESA services to the appropriate internal staff. Change customers’ billing information as necessary.

• Input data to various databases to produce notifications to inform Inspectors of work required and to produce customer invoices for the work and services provided.

• Follow up with customers to determine if invoices were received correctly when accounts are overdue. Reverse interest payment charges to customers when justified by specific defined instructions and limits. If there are discrepancies with the invoice or if payment is an issue, refer to supervisor or others to resolve. Keep track of charges deducted from accounts where customers pay in advance. Input amounts of capital works projects.

• Provide support to training programs. Enter data into training database so that training notifications and certificates can be produced. Confirm arrangements with course trainers and arrange for audio-visual equipment as necessary. Provide information on course availability, content and cost to customers.

• Input information on Inspectors’ vehicle mileage and maintenance as requested.

• Ensure the office’s spare computers are ready for use. Connect computers to the local area network occasionally, so that computers are automatically updated with software upgrades. If required for use, follow specific instructions to allow IT staff to configure the computer remotely. When possible, answer Inspectors’ questions on the use of standard word processing and spreadsheet applications.

• Maintain the inventory of the office’s spare cell phones, ordering new phones as directed.

• Process time exceptions, expense reports and procurement card statements. Review time exceptions for completeness and forward to others for approval. Ensure receipts are attached to expense reports and procurement statements and inform supervisor when incomplete

• Provide input to the department’s practices, processes and procedures. Review proposed changes to processes as they affect this job, to ensure they improve the work processes.

• Perform other duties as required.

Education

Requires a knowledge of business and office practices to provide support to CSS program and inspection activities and to produce reports from database and spreadsheet software. Requires proficiency in keyboard operation and a knowledge of standard word processing, database and spreadsheet software to enter and extract data and produce reports and invoices. Requires good knowledge of English to communicate effectively with customers.

This knowledge is considered to be normally acquired either through the successful completion of Grade 12 in a Secondary, Commercial or Technical School or by having the equivalent level of education.

Selection Criteria

• Minimum one (1) year and up to two (2) years of experience supporting program activities and processes.

• Experience dealing with customers and responding to questions and customer enquiries.

• Experience entering, maintaining and extracting information from databases and spreadsheets to support reporting requirements.

• Experience processing invoices, expense reports and procurement card statements.

• Experience applying established standards, procedures and practices and exercising judgment in selecting, applying and making minor deviations from established procedures to resolve routine work problems.

• Basic understanding of inspection processes sufficient to provide support to Inspectors.
