The Scheduler & Dispatcher plays a key role in supporting the effective delivery of Community Health & Wellbeing (CHW) programs by coordinating schedules, resources, staff, and volunteers. This position is responsible for creating and maintaining schedules, assigning and dispatching personnel, communicating with clients and team members, resolving scheduling issues, and maintaining accurate records.

Working closely with internal teams and external partners, the Scheduler & Dispatcher helps ensure services are delivered efficiently, resources are utilized effectively, and client needs are met in a timely manner.

In this role, you will:

• Develop, maintain, and update program schedules to support service delivery.
• Coordinate and dispatch staff and volunteers, ensuring they have the information, resources, and tools required to carry out their responsibilities.
• Monitor staff and volunteer availability and deployment to ensure efficient allocation of resources.
• Track inventory levels for equipment and supplies and coordinate replenishment as needed.
• Collaborate with internal teams and external partners to ensure seamless and timely client service delivery.
• Prepare and provide accurate reports related to scheduling, resource deployment, and program activities.
• Support administrative functions, including data entry, documentation, and record maintenance.
• Respond to client intake inquiries, assess eligibility, and complete required intake documentation within the client record system.
• Address scheduling changes and resolve conflicts to maintain continuity of service.

What we are looking for:

• One to two years of related experience, supported by a one- to two-year college diploma, post-secondary certificate, or an equivalent combination of education and experience.
• Proficiency in Microsoft Office applications, including Word, Outlook, Excel, and PowerPoint, as well as SharePoint.
• Ability to apply established procedures and exercise sound judgment to resolve routine issues.
• Strong communication skills, with the ability to explain processes, policies, and services clearly and professionally.
• Experience coordinating schedules, allocating resources, and supporting daily operational activities.
• Excellent organizational, time-management, and prioritization skills, with the ability to adapt in a fast-paced environment.
• Strong attention to detail and commitment to maintaining accurate records and documentation.
• Demonstrated compassion, empathy, and respect when working with individuals with diverse cognitive, physical, and social needs.

Working Conditions:

• Duties are principally conducted in office.
• Hours of operation are from 8.30 am to 4.30 pm, Monday to Friday.
• The work can require irregular hours, but never outside of hours of operation.
• Please note that relocation funding is not available for this position.
