Bus Bid and Contract Specialist

POSITION SUMMARY

The Bid & Contract Specialist serves as the primary Business Development representative for bus and coach bids, contracts, and program requirements within NFI Parts. This position coordinates cross-functional activities throughout the bid lifecycle, supports the successful execution of customer contract deliverables, and provides analysis, documentation, and program support to drive customer satisfaction and business growth.

WHAT YOU WILL DO:

• Serve as the primary point of contact between NFI Parts and New Flyer/MCI Sales and Customer Program Management (CPM) teams, ensuring alignment, effective communication, and successful execution of bid and contract activities.
• Interpret customer bus and coach bid specifications and translate requirements into clear business deliverables, summaries, and action plans for internal stakeholders.
• Participate in cross-functional collaboration to discuss requirements, resolve challenges, and support successful bid and contract outcomes.
• Analyze bid requirements, pricing, contractual obligations, and commercial risks to support informed business decisions and competitive bid strategies.
• Contribute to bid strategy development by collaborating with cross-functional teams to identify customer requirements, value-added solutions, and competitive opportunities.
• Develop parts pricing, recommended stocking lists, and other customer-specific aftermarket solutions that support bid submissions and long-term customer success.
• Develop and tailor customer proposal packages by incorporating technical, commercial, and contractual requirements while ensuring accuracy and completeness.
• Maintain and enhance a centralized repository of proposal content, standard responses, and supporting documentation to improve consistency, efficiency, and knowledge sharing.
• Review customer contract terms and conditions, identify potential risks or obligations, and coordinate stakeholder reviews to ensure compliance with company policies and operational capabilities.
• Leverage AI-enabled contract and proposal review tools to support the identification of contractual risks, compliance requirements, inconsistencies, and opportunities for process improvement, while ensuring appropriate stakeholder review and validation.
• Facilitate Teamcenter workflows by coordinating stakeholder reviews, approvals, and the delivery of parts and pricing information required to support customer commitments.
• Support the transition of awarded contracts from bid phase to execution by coordinating deliverables, communicating requirements, and providing ongoing contract administration throughout the program lifecycle.
• Participate in pre-production and contract review meetings to communicate requirements, confirm deliverables, and support operational readiness.
• Manage the timely completion and delivery of contractual obligations, ensuring customer commitments are fulfilled in accordance with contractual requirements.
• Coordinate the development and delivery of contract-required documentation, including Parts Provisioning Reports, Recommended Stocking Lists, and other customer support materials.
• Communicate new bus and coach program information to Customer Service teams to support customer onboarding, service readiness, and program execution.
• Develop and maintain OEM Cross-Reference Lists for key customers, ensuring data accuracy, completeness, and timely delivery.
• Own and maintain bid performance data, reporting, and insights that support business planning and continuous improvement.
• Contribute to Business Development projects, strategic initiatives, and continuous improvement activities that support departmental and organizational objectives

Requirements

WHAT YOU NEED TO BE SUCCESSFUL:

• Minimum High School Graduate. Preferably Post-secondary education in Business Administration, Project Management, Contract Management, or a related field, or an equivalent combination of education and experience.
• Working knowledge of contract administration principles, including contract review, compliance, customer obligations, risk identification, and change management.
• Demonstrated ability to review, interpret, and summarize technical, commercial, contractual, and customer specification documents.
• Experience coordinating activities across multiple departments and stakeholders to support bids, contracts, customer programs, projects, or business initiatives
• Experience supporting bids and proposal development, contract administration, or related business operations will be an asset.
• Experience working within a manufacturing, transportation, transit, automotive, or aftermarket parts environment will be an asset.
• Knowledge of bills of materials (BOMs), engineering documentation, and manufacturing processes will be an asset.
• Strong analytical and problem-solving skills, with the ability to evaluate requirements, identify risks, and recommend practical business solutions.
• Exceptional attention to detail and commitment to accuracy when reviewing contracts, specifications, pricing, and customer documentation.
• Excellent verbal and written communication skills, with the ability to communicate effectively and build relationships across all levels of the organization.
• Strong organizational, time management, and prioritization skills, with the ability to manage multiple projects, competing priorities, and deadlines.
• Proficient in Microsoft Office applications, including Word, Excel, Outlook, PowerPoint, and other business tools used for reporting, analysis, and document management.
• Ability to work independently with minimal supervision while effectively collaborating within cross-functional teams to achieve business objectives
