About the Role
We are looking for a reliable, detail-oriented Listing & Client Care Assistant to support a busy, high-performing Calgary real estate agent with active listings, client communication, listing administration, and day-to-day coordination.
This role is ideal for someone who enjoys organization, communication, follow-up, data entry, and keeping multiple moving pieces on track. You will work closely with the agent and the Operations & Transaction Coordinator to support listing activity, seller communication, showing feedback, MLS listing management, CMA preparation, email management, calendar coordination, and listing logistics.
The right person is proactive, professional, responsive, and comfortable working in a fast-paced real estate environment.
About the Agent
You will be supporting a high-volume Calgary real estate agent with a strong listing-based business and a high standard of client service. The role is designed to help keep the listing and client care side of the business organized, responsive, and well-managed.
This is not a sales role. This is a support, coordination, and administrative role for someone who is highly organized, clear in communication, and comfortable managing recurring tasks with accuracy and care.
Key Responsibilities
- Manage and organize the agent’s inbox, including monitoring incoming emails, drafting simple client and agent communication, organizing messages, and flagging emails that require immediate attention
- Input and manage MLS listings for the agent, including listing details, updates, price changes, status changes, and accuracy checks
- Assist with CMA creation, including pitch deck preparation, comparable research, market data gathering, and presentation support
- Manage the agent’s calendar, appointments, reminders, and scheduling requests
- Collect and organize showing feedback from buyer agents
- Prepare and send showing feedback summaries and seller updates
- Support weekly seller communication and listing status updates
- Assist with open house scheduling, promotion, follow-up, and reporting
- Coordinate listing logistics such as lockboxes, signage, access notes, showing instructions, and property information updates
- Help schedule and track photography, staging, cleaning, trades, and other vendor-related tasks
- Maintain listing checklists, spreadsheets, CRM notes, and task trackers
- Keep digital files organized across shared file management systems
- Flag urgent issues, deficiencies, access concerns, or client questions to the appropriate team member
- Support general listing administration and client care tasks as needed
What We’re Looking For
- Previous data entry and/or administrative experience is required
- Strong written and verbal communication skills
- Excellent attention to detail and accuracy
- Strong follow-up skills with the ability to stay on top of multiple moving pieces
- Comfortable managing an inbox, organizing emails, and flagging urgent items
- Confident using email, spreadsheets, calendars, CRM systems, and online platforms
- Professional, friendly, and client-focused communication style
- Able to work independently, take initiative, and ask smart questions when needed
- Calm, organized, and responsive in a fast-paced environment
- Comfortable learning new systems and following established processes
Nice to Have
- Experience with real estate administration or listing coordination
- Familiarity with MLS, ShowingTime, Pillar 9, DocuSign, Google Workspace, Follow Up Boss, Gamma, Adobe Express, Asana, or similar platforms
- Experience with file management systems such as Egnyte, Dropbox, Google Drive, or similar platforms
- Experience creating CMAs, pitch decks, market research packages, or client-facing presentations
- Experience coordinating vendors, appointments, open houses, or client communication
Role Details
This is an Independent Contractor position starting at $23/hour , with compensation open to discussion based on relevant experience.
The successful candidate will primarily support the listing and client care side of the agent’s business, while the Operations & Transaction Coordinator handles contracts, compliance, transaction deadlines, and file accuracy.
This is a full-time, work-from-home position with occasional in-person tasks required in Calgary. Candidates must have access to a reliable, secure computer and a quiet, professional workspace suitable for daily administrative work, email management, and client communication.
As this is an Independent Contractor role, the successful candidate will be responsible for providing their own equipment and managing their own statutory deductions.
Ideal Candidate
You are organized, accurate, and proactive. You like keeping things moving, following up on details, and making sure nothing falls through the cracks. You are comfortable with repetitive administrative tasks, but you also understand the importance of communication and client experience.
You do not need to have real estate experience, but you do need to be confident with admin work, data entry, email management, calendars, and learning new systems quickly.
