People Operations Specialist

What you'll do:

People Operations and Employee Experience:

• Help create a seamless employee experience from first day to last, supporting onboarding, offboarding, promotions, transfers and other key employee changes.

• Prepare employment agreements, letters, addenda and other employee documentation with accuracy and attention to detail.

• Keep employee records organized, accurate and up to date, ensuring we have the right documentation in place.

• Coordinate onboarding across teams to ensure new hires feel welcomed, prepared and set up for success.

• Manage the operational details of offboarding, partnering with teams across the organization to ensure a smooth transition.

HR Systems and People Data:

• Be a go-to resource for our HRIS, Rippling, maintaining accurate employee data and supporting employees and managers with the system.

• Process employee changes and conduct regular audits to keep our People data clean and reliable.

• Help us get more out of our HR technology by identifying opportunities to improve workflows, automate processes and make things easier for employees and managers.

Payroll and Benefits:

• Help ensure employees are paid accurately and on time by coordinating payroll changes, reviewing inputs and supporting payroll audits.

• Manage day-to-day benefits administration, including enrolments, changes and terminations.

• Be a first point of contact for employee payroll and benefits questions, helping employees navigate programs and find the answers they need.

Leaves and Employee Support:

• Coordinate employee leaves from an administrative perspective, ensuring documentation, systems and records stay organized and up to date.

• Be an approachable first point of contact for everyday questions about our People programs, policies and processes.

• Help employees navigate People processes and connect them with the right support when a question requires additional expertise.

People Programs and Process Improvement:

• Keep People resources, templates, policies and process documentation organized, accessible and current.

• Support employee communications and People initiatives across the organization.

• Look for ways to make our People processes simpler, smarter and more scalable, using technology and automation wherever possible.

• Jump into People projects and new initiatives as we continue to grow and evolve!

Qualifications

• 2–4 years of experience in People Operations, Human Resources, or a similar role.

• Post-secondary education in Human Resources, Business Administration, or a related field; CHRP designation or progress toward it is an asset.

• Working knowledge of Ontario employment standards and HR practices.

• Experience working with an HRIS; experience with Rippling or a similar platform is an asset.

• Exposure to payroll and benefits administration, with an interest in building deeper expertise in these areas.

• Strong attention to detail and a high degree of accuracy when working with employee data and documentation.

• Strong organizational skills and the ability to manage multiple priorities in a fast-paced environment.

• Comfortable working with data and spreadsheets and producing basic People reports and metrics.

• Strong written and verbal communication skills, with a service-oriented approach to supporting employees and managers.

• Sound judgment and discretion when working with confidential and sensitive information.

• A proactive, curious mindset—you look for ways to improve processes rather than simply following them.

• Comfortable working in a growing environment where priorities and processes will continue to evolve.

The expected compensation range for this position is $60,000-$75,000. Compensation will be determined based on the individual’s demonstrated experience, education, training, relevant certifications or licensure, and other applicable business and organizational factors.

This role is a current, onsite vacancy (5 days a week in our Oakville office).
