  • Support vendor and venue sourcing activities, maintain the national preferred vendor list, and ensure accurate vendor records and compliance with clearance requirements.
  • Facilitate contract execution and manage vendor payment processes, including online purchase order creation, invoice tracking, and reconciliation of high-volume expense reports.

  • Coordinate internal project team meetings, including scheduling, preparing agendas, and supporting presentation development.
  • Provide onsite support to help ensure seamless event delivery.
  • Provide ad hoc administrative support to Senior Managers as required.

Enough about us, let’s talk about you

You are someone with these required skills, experience and qualifications:

  • Strong digital skills, including Microsoft Word, Excel, PowerPoint, Teams, Power BI and Outlook, with experience in mail merges, pivot tables, presentations, and graphics creation.
  • Experience with event management platforms (e.g., Cvent) and administrative/financial tools (e.g., Concur, Ariba, OpenText).
  • Excellent organizational skills with the ability to manage multiple priorities, concurrent projects, and deadlines in a fast-paced, collaborative environment.
  • Strong interpersonal and communication skills with a proactive, team-oriented approach.
