Lease and Rental Administrative Specialist

Altruck International Truck Centres is seeking an experienced Lease & Rental Administrative Specialist for our Idealease team to provide key administrative support to our Leasing, Rental, and Sales teams at our Kitchener location (48 Ardelt Avenue). Reporting to the General Manager, this position plays an important role in ensuring lease and sales transactions are accurately processed, properly documented, and completed on time, while providing effective support to the General Manager, Account Managers, Rental Agents, Accounting, and delivering responsive customer service. The ideal candidate is highly organized, detail-oriented, financially proficient, and skilled at managing multiple priorities in a fast-paced commercial truck dealership environment. Experience with leasing, rental operations, financial transaction processing, or automotive and commercial vehicle administration will be considered an asset. Pay: CA$52,000.00 - CA$58,000.00 per year Key Duties

• Process lease, sales, rental, and financial documentation and agreements.
• Review and process complex lease deals, including ratings and deal structure.
• Maintain accurate customer, vehicle, lease, rental, and sales records in CDK.
• Coordinate MTO, IRP, licensing, liens, garage registry, and related requirements.
• Manage lease expiries, end-of-lease processing, unit transfers, and rental-to-lease conversions.
• Assisting with financial documents and transactions.
• Support Sales Representatives with reports, commissions, objectives, sales submissions, and customer follow-up.
• Set up rental units, track mileage, and coordinate E-tests as required.
• Respond to customer inquiries and assist with prospecting and appointment setting.
• Ability to assist in Sales Blitzes and utilize approved AI tools to support administrative and sales activities.
• Travel locally to MTO and other Altruck facilities as required.
• Maintain accuracy, confidentiality, organization, and timely completion of work.

Preferred Qualifications

• Administrative or related experience; leasing, sales, rental, finance, automotive, trucking, or truck dealership experience is an asset.
• Strong organizational and time-management skills with excellent attention to detail.
• Strong computer skills, including Advanced Excel; CDK experience is an asset.
• Experience with CRM Software; Salesforce an asset.
• Strong communication and customer-service skills.
• Ability to work independently and manage multiple priorities.
