About the Client

Inner Circle Agency is hiring on behalf of our client, who is an early-stage coaching company building a structured program that helps financial advisors run more efficient, more fulfilling practices. Clients join on a monthly subscription that gives them ongoing access to the program and a team of dedicated coaches. The company was founded by an entrepreneur who built and successfully exited his own business in the industry, and it is preparing for its first major growth push in the new year. The founder is serious about building the infrastructure before the volume arrives.

Role Overview

This is the company’s first operations hire. In the first months, you’ll work alongside the founder to identify the processes the business runs on, map them, and turn them into documented, measurable systems. Once that foundation is in place, you’ll own those processes, keep them healthy as the team and client base grow, and act as the bridge between the founder’s vision and day-to-day execution.

Key Responsibilities

• 
  

  Audit the business in your first 30 days to identify its core processes, then agree with the founder on which ones to map first and by when



• 
  

  Map, document and launch critical processes, including client delivery, coach recruiting and onboarding, sales rep onboarding, billing setup and vendor management, built to work at 100+ clients, not just 10



• 
  

  Assign owners and KPIs to every core process and run a company dashboard that shows at a glance whether each area is on track (green, yellow or red)



• 
  

  Own project management and deadlines across the company, likely with Asana as the operating backbone



• 
  

  Partner with the founder on the coaching program’s workflows, making sure each one is mapped, standardized and measured



• 
  

  Scope and manage outside partners (workflow consultants, bookkeeping firm, automation and AI builders), and spot where automation can save the team time



• 
  

  Flag risks early, push back when priorities compete, and tell the founder what needs to wait so the right things get done well

Qualifications

• 
  

  5+ years in operations or business operations, including building processes and SOPs from scratch in a growing business (not only following ones that already existed)



• 
  

  Comfort working without a direct playbook



• 
  

  Experience turning a founder’s or expert’s knowledge into documented playbooks that other people can follow



• 
  

  Experience defining KPIs and building dashboards to measure how a process or team is performing



• 
  

  Strong project management skills, with comfort juggling competing priorities in tools like Asana, Google Sheets and Notion



• 
  

  Professional fluency in English



• 
  

  Able to work from the Montreal office (Ahuntsic area) three days per week

Preferred

• 
  

  Operations experience in a coaching, professional services or financial services business



• 
  

  Experience building onboarding programs for client-facing teams (coaches, account managers, sales reps)



• 
  

  An engineering, analytical or systems-thinking background



• 
  

  Startup or scale-up experience, ideally as one of the first operations hires



• 
  

  Working knowledge of AI and automation tools, enough to scope and manage what gets built



• 
  

  Familiarity with operating frameworks such as Scaling Up or EOS
