About us: The Institute of Biomaterials & Biomedical Engineering (IBBME) is a multidisciplinary research community where investigators across engineering, medicine and dentistry collaborate to develop innovative solutions that address global challenges in human health. Located in the heart of Canada's largest health-care research network, our faculty offer quality education to students who receive training in biomedical and clinical engineering. These highly experienced faculty have been involved in launching more than 20 start-up companies and driving three major biomedical engineering commercialization ventures. Your opportunity: Working under the general direction of the Director and the Manager of Operations, the Administration and Finance Officer is a key member of the IBBME administrative team, responsible for providing administrative support to the Institute in all areas related to departmental operating budget accounts, including processing expenditures and recoveries, and preparing and monitoring monthly financial statements, and for assisting in functions related to human resources administration, including all aspects of processing personnel records, payroll, and annual reporting. Your responsibilities will include:
- Overseeing day-to-day financial needs of the unit
- Liaising with stakeholders to support initiatives
- Responding to escalated complaints using informal negotiation skills
- Handling sensitive and/or confidential information
- Following administrative rules and procedural instructions
- Monitoring accounts for a project and/or program
- Generating standard financial reports
Essential Qualifications:
- Bachelor's Degree or acceptable combination of equivalent experience
- Minimum five years related financial experience in a high volume, dynamic and rapidly changing confidential office setting
- 2 years of experience providing administration of personnel related activities
- Experience with Financial Information System (FIS) and Human Resources Information System (HRIS) or equivalent system(s)
- Experience working with large endowments and grants (e.g. NSERC, MITACS)
- Experience working with and preparing annual estimates for multidisciplinary departments
- Highly developed computer skills, including proficiency with Microsoft Office (Word, Excel, Access, Outlook)
- Ability to work under pressure, prioritize tasks, multi-task and meet deadlines with attention to detail and accuracy
- Excellent communication skills (written and verbal), analytical skills, problem solving and organizational skills
- Ability to summarize information concisely to aid senior management decision making
- Proven ability to exercise judgement, tact, diplomacy, a high degree of initiative and the ability to work independently and as part of a team

- Experience with staff supervision and human resources in a unionized environment
- Knowledge of the University's human resourcespolicies and procedures and bargaining unit collective agreements
