This role will be responsible for the planning, coordination, and operational enablement of internal, client-facing, and market-facing events across both locations. The successful candidate will bring strong experience delivering both large and small-scale events, with the ability to manage the details that make events run smoothly, including budgeting, administration, logistics, stakeholder coordination, communications and post-event follow-through. This role can be based in either Calgary or Vancouver and will require regular travel between both locations to support event delivery and market priorities.
This job posting relates to an existing vacancy within our organization.
Your Key Responsibilities
- Plan, coordinate and support delivery of internal, client-facing and market-facing events across the Calgary and Vancouver offices, ensuring each experience is well-organized, on-brand and aligned to local market priorities.
- Manage the operational enablement of events from intake through execution and close-out, including timelines, stakeholder alignment, venue coordination, invites, communications, materials, registration, catering, run-of-show and post-event feedback.
- Support both large-scale and smaller, office-based events, including townhalls, leadership sessions, client programs, market activations, networking events, sponsorship-related events and people-culture initiatives.
- Work closely with Office Managing Partners, market leaders, Clients & Industries teams, Brand, Marketing and Communications, National Events & Sponsorship, Workplace Services and other enabling teams to ensure seamless planning and delivery across both locations.
- Coordinate event budgets, purchase orders, invoice tracking, approvals, accruals and financial reporting, ensuring spend is appropriately managed and aligned to approved plans.
- Maintain event planning tools, trackers and administrative processes to provide clear visibility into upcoming events, decisions, owners, budget status, risks and follow-ups.
- Support sponsorship and market activation processes where required, including intake, routing, approvals, logistics and local activation planning.
- Identify opportunities to improve consistency, efficiency and quality across event operations in Calgary and Vancouver, including templates, process improvements, playbooks and best practices.
- Act as a reliable point of coordination across the two markets, helping ensure stakeholders have the information, support and follow-through required to deliver high-quality experiences.
- Travel between Calgary and Vancouver as needed to support planning meetings, stakeholder engagement and on-site event execution.
Skills and attributes for success
- Strong event planning and operational coordination skills, with experience supporting both large and small-scale events.
- Highly organized, detail-oriented and comfortable managing multiple priorities, timelines and stakeholder needs at the same time.
- Strong budgeting, administrative and financial tracking capability, including practical experience with approvals, invoices, purchase orders and budget reporting.
- Confident communicator with strong written and verbal skills, able to engage effectively with senior leaders, enabling teams, vendors and external stakeholders.
- Collaborative, service-oriented mindset with the ability to build trust across teams and navigate competing priorities professionally.
- Strong problem-solving skills and the ability to stay calm, practical and solutions-focused when plans shift or issues arise.
- Comfortable creating structure, improving processes and introducing tools or templates that make event delivery more consistent and efficient.
- Professional, approachable and committed to creating inclusive, high-quality experiences for EY people, clients and market stakeholders.
- Flexible and willing to travel between Calgary and Vancouver to support planning and on-site execution.
To qualify for the role you must have
- Bachelor's degree in Business Administration, Marketing, Communications, Event Management or a related field, or equivalent practical experience.
- 5+ years of relevant experience in events, operations, marketing, business enablement or a related professional services environment.
- Demonstrated experience planning and delivering events of varying scale, including both internal and external/client-facing events.
- Experience managing event logistics, budgets, vendors, communications, approvals and administrative processes from planning through completion.
- Proven stakeholder management skills, including comfort working with senior leaders, cross-functional teams and external vendors.

- Ability and willingness to travel regularly between Calgary and Vancouver.
