We are seeking a highly organized and proactive

Administrative Assistant / Maintenance Coordinator to support building operations and maintenance activities across a diverse portfolio. This position plays a key role in coordinating maintenance services, managing work orders, supporting contractor activities, monitoring service delivery, and assisting with operational reporting and compliance requirements.

Key Responsibilities

  • Coordinate and monitor maintenance work orders, preventive maintenance activities, and service requests.
  • Liaise with contractors, suppliers, and operations staff to ensure work is completed safely, on time, and within scope.
  • Support the Operations Manager with building operations, contractor management, and project coordination.
  • Track work order performance, service levels, and Key Performance Indicators (KPIs).
  • Process purchase orders, review contractor invoices, and maintain service records and documentation.
  • Support building management systems, including AiM, BMCS, and related operational software.
  • Assist with onboarding and training team members on maintenance processes, software systems, and operational procedures.
  • Coordinate regulatory inspections, compliance activities, and required maintenance documentation.
  • Prepare operational reports and maintain records to support quality, safety, and contract requirements.
  • Promote a safe work environment and ensure adherence to company policies, procedures, and safety standards.

Qualifications

Required

  • Minimum 3–5 years of experience in maintenance coordination, facilities administration, building operations, or property management.
  • Experience working with contractors, service providers, and maintenance programs.
  • Working knowledge of CMMS systems, work order software, or building maintenance programs.
  • Strong organizational and time-management skills.
  • Excellent communication and customer service abilities.
  • Proficiency with Microsoft Office Suite and business software applications.
  • Valid Driver's License with a satisfactory Driver's Abstract.
