Job Overview:
We are seeking an experienced and enthusiastic PMO (Project Management Office) Manager to join our dynamic team at Pinnguaq. As Manager of the PMO, you will play a critical role in overseeing project management and instituting the necessary infrastructure to ensure projects are executed successfully in a standardised, efficient manner. You will work closely with the leads of each division at Pinnguaq, bringing fluidity to your work and leveraging your experience to drive successful project outcomes.
In this capacity, you will be the linchpin between different departments, ensuring a harmonious and coherent approach to project initiation, planning and completion. Your ability to lead the PMO in fostering collaboration, aligning diverse perspectives, and strategically planning for successful outcomes will be vital to the overall success of Pinnguaq's initiatives.
Responsibilities:
Management (Staff)
- Setting strategic direction for the PMO through OKRs (Objectives and Key Results) to guide its growth in partnership with the organisational OKRs and the strategic plan.- Lead and motivate Project Managers to achieve goals through coaching, mentoring, training, and oversight.- Cultivate a culture of open communication, where team members feel comfortable sharing ideas, concerns, and suggestions.- Create a learning environment through leadership, process and resources such as databases (Monday.com).- Resource Optimization: Identify and recommend allocation of project resources, including budget, personnel, and tools, with a focus on maximising efficiency and impact. Proactively address resource constraints and identify opportunities to optimise resource allocation.- Actively participate in the recruitment, onboarding, mentorship/coaching, knowledge transfer and performance management of employees to reach their highest potential through opportunities for professional growth.
Management of PMO
- identify, develop and enforce consistent project management methodologies, best practices, standards, processes, tools, templates, and other shared documentation across the organisation to help optimise successfully completed project delivery.- Monitoring compliance with project management standards, policies, processes, and templates by means of project audits.- Overseeing resource allocation across multiple projects. This involves capacity planning and scheduling to maximise resource utilisation.- Strategically oversee multiple simultaneous/overlapping projects, identifying and monitoring deliverables and ensuring successful completion.- Oversight of tracking project health, creating dashboards and metrics that provide visibility into progress and performance to help identify improvements.- Oversight of identifying and mitigating potential project risks in the context of STEAM education, ensuring project progress remains on track.- Lead on identifying potential roadblocks and challenges early in the project management process, allowing for timely adjustments and improved project outcomes.- Take ownership of digital project infrastructure, overseeing project management software, file organisation, and daily information input/update processes.- Initiate conversations with department heads to gain a comprehensive understanding of their strategic goals and how projects align with the organisation's overall mission.- Oversight of seamless project communication at all stages across projects through to coordination of related project reporting.- Oversight of organising regular PMO meetings with stakeholders from different departments to share project updates, progress, and challenges.- Establish channels for cross-functional input, ensuring that the collective expertise of all departments is harnessed to deliver comprehensive solutions.- Work closely with department leads to allocate the right expertise and resources to each project.- Work closely with the Education and Delivery teams to comprehend the logistical and operational aspects of project implementation, including outreach and engagement strategies.- Engage with the Production team to understand the creative and design aspects of project deliverables, ensuring that the final product meets high-quality standards.- Collaborate with the Development team to align project requirements, grant opportunities, and evaluation criteria with strategic goals.- For projects with external stakeholders, oversight of Project Managers acting as the primary client contact, establishing and facilitating advisory/steering committees and coordinating related project communication.
Requirements:
- Bachelor's or Master's degree in business, administration or a relevant field. Project Management Professional Certification or similar project management certification is a plus.- At least five years proven experience of working in project management, with a strong track record of successful project delivery.- Excellent knowledge of project management and understanding of project management methodologies, tools, and best practices.- Familiarity with various educational methodologies, digital learning platforms, and technology-driven learning tools would be an asset.- Demonstrated ability to lead cross-functional teams, fostering collaboration and driving results.- Skills and competencies including: strong leadership skills, critical thinking, attention to detail, organisational skills, interpersonal skills, and time management.- Exceptional written and verbal communication and presentation skills to engage diverse stakeholders effectively.- Proficiency in Adobe applications, Monday.com and Google Suite is preferred.
