Position Summary and Scope of Service

Reporting to the Manager, Volunteer Services and consistent with the Mission, Values and policies of St.Amant, the Youth Summer Lead is a critical role in ensuring the success of St.Amant business and operations. 

Exemplifying the mission, vision and values of St.Amant, the Youth Summer Lead works collaboratively with partnered programs while offering employees respectful customer service. 

The primary role of the Youth Summer Lead is to provide a range of customer service support to the Volunteer Services area. The incumbent will need to be able to handle administrative projects and deliver high-quality work under minimum supervision.

Hours of this position are subject to change and flex based on the needs of the program. Generally, the hours are Monday to Friday 9:00am to 5:00pm and/or Saturday and Sunday 9:00am to 5:00pm

Eligibility (Canada Summer Jobs Program)

• Must have been registered as a full-time student in the previous academic year and intend to return to school on a full-time basis the next academic year.
• Must be between 15 and 30 years of age at the start of employment 
• If under the age of 16, a certificate of completion of the Workplace Preparedness course is required
• Be legally entitled to work in Canada 
• Be a Canadian citizen or permanent resident 
• Be available to work the full duration of the placement 

Qualifications

Educational:

• Completion of Grade XII
• Must have been registered as a full-time student in the previous academic year and intend to return to school on a full-time basis the next academic year

Professional:

• Previous experience in a volunteer role
• Good organizational, time management and communication skills
• Experience working with employees and the public
• Experience in training an asset; specifically with youth
• Knowledge of PHIA in the performance of all duties
• Comfort and knowledge in using virtual platforms such as Zoom and/or Microsoft Teams

Personal:

• Ability to work with minimal supervision as well as a collaborative team player in a team environment
• Ability to organize and prioritize work in a fast-paced environment
• Ability to generate ideas to improve work procedures and contribute to an environment that fosters growth, development and innovation
• Superb interpersonal ability to establish and maintain positive and productive working relationships with humility and self-awareness

Duties and Responsibilities

Consistent with the Mission, Philosophy and Policies of St.Amant, the Youth Summer Lead provides is responsible for supervising and maintaining volunteer participation in established programs, and making recommendations for program improvements .  Quality services are evident when professional communication, timeliness, accuracy, ethical awareness / sensitivity, confidentiality are consistently demonstrated as required by legislation and program/service standards.

Duties include:

• The day-to-day supervisor for the Pool Program Facilitators and Green Garden Art Team
• Ensures that the work required is properly completed by the Pool Program Facilitators and the Green Garden Art Team
• Oversees the planning, scheduling and provide input and directions where needed
• Communicates effectively with staff and volunteers; provide training with specific areas of need: bikes, wheelchairs, breaks/lunches, program areas, etc.
• Welcomes and assists volunteers
• Provides direction to new volunteers; assist with first day check in training and follow up as needed
• Participates in volunteer orientation and training sessions
• Trains volunteer mentors
• Provides support with scheduling
• Maintains ongoing communication with all volunteers and assist with recognizing milestones
• Assists with volunteer evaluations
• Works with other program staff to coordinate training opportunities on behalf of volunteers
• Communicates with volunteers regarding activities, workshops, etc.
• Assists in special events, such as annual fundraising projects
• Assists with absent line and forward calls to supervisors
• Coordinates fun activities for volunteers during break time

Administrative support tasks include:

• Answering emails
• Schedule volunteer interviews
• Volunteer check-ins
• Note taker in virtual meetings
• Virtual interview support
• Support and update the volunteer databases
• Managing filing systems
• Update records and organizing documents
• Virtual programming support
