Your Role
Reporting directly to and receiving supervision from the Executive Director, while providing administrative support to the Haa Shaa du Hen and Deputy Haa Shaa du Hen, the Senior Executive Assistant serves as the primary administrative point of contact for the Executive Office. The position provides high-level, proactive and confidential support that enables executive leadership to focus on strategic priorities, decision-making and organizational leadership.
Operating with a high degree of independence, judgment and discretion, the Senior Executive Assistant anticipates needs, manages competing priorities, coordinates the flow of information and ensures commitments are tracked through to completion. The role functions as a trusted “right hand” to the Executive Director, brings a broad organizational perspective to the work, and provides leadership, guidance and mentorship to administrative employees across C/TFN.

Duties and Responsibilities
Executive and Strategic Support
• Provide proactive, confidential and high-level administrative support to the Executive Director, Haa Shaa du Hen and Deputy Haa Shaa du Hen.
• Manage calendars and priorities, and track executive decisions and commitments.
• Prepare briefings, correspondence, reports, presentations, and research to support decision-making.
• Identify matters requiring executive attention and independently resolve or redirect other matters.
Executive Office Management
• Serve as the main point of contact and senior administrative resource for the Executive Office, ensuring enquiries, information and requests are handled appropriately and efficiently.
• Oversee day-to-day Executive Office operations, workflows, systems, records, supplies, shared resources, and service coordination.
• Develop and improve administrative procedures, templates, trackers, and secure information-management practices.
• Coordinate Executive Office logistics, visits, events, travel, and assigned meetings, excluding responsibility for organizing General Council and Executive Council.
Communication and Relationship Coordination
• Coordinate the flow of information to and from the Executive Office and ensure accurate routing, timely responses, and appropriate follow-up.
• Draft, review and proofread sensitive executive correspondence and documents, ensuring accuracy, professionalism, and an appropriate tone.
• Maintain effective relationships with C/TFN departments, Citizens, Elders, Governments, First Nations, partners and external organizations.
• Handle sensitive, political, personnel and organizational matters with sound judgement, diplomacy, discretion and confidentiality.
Administrative Leadership and Mentorship
• Provide functional leadership, coaching and mentorship to administrative employees and promote consistent, high-quality administrative practices across C/TFN
• Serve as the senior go-to resource for administrative questions, executive office protocols, document standards, scheduling and workflow coordination.
• Support administrative orientation, resource sharing, coverage coordination and continuous improvement.
• The position may provide guidance and mentorship to other administrative roles, but does not exercise supervisory authority over other administrative staff, except for direct reports assigned to the role.
Special Projects and Organizational Support
• Lead or Coordinate special projects and cross-departmental administrative initiatives assigned by the Executive Director.
• Represent the Executive Office on internal working groups or coordination tables as assigned.
• Respond to urgent or high-priority organizational requirements and perform other related duties consistent with the senior level and purpose of the position.
Leadership Of Others
• Provides direct supervision and performance oversight to the Council Clerk
• Provides guidance, mentorship and support to administrative employees C/TFN
• Serves as the senior resource for administrative procedures, executive office protocols, scheduling practices and document standards.
• Promotes consistency, professionalism and continuous improvement administrative services throughout the organization.
Essential Qualifications

• Diploma or degree in office administration, business administration, public administration or a related field, or an equivalent combination of education and experience.
• Experience leading or mentoring administrative employees and coordinating administrative services.
• Experience working within a First Nations government, Indigenous organization, public-sector organization, or complex governance environment would be considered an asset.

• Demonstrated leadership availability, including mentoring, coaching, and supporting administrative employees.
• Knowledge of, or willingness to learn, C/TFN governance, culture, values and protocols.
