About Us: We are a Canadian manufacturer of premium, hand-cast concrete fire pits, water features, and fireplace surrounds. Serving homeowners, designers, and commercial projects across North America, the UK and the EU. We pride ourselves on craftsmanship, beautiful products with exceptional customer service.
Position Overview: We're looking for a proactive and detail-oriented Sales & Marketing Administrator to manage and support our North American and international sales operations. This role is essential in keeping the sales process running smoothlyfrom order conception to shippingwhile acting as a liaison between customers, sales reps, production, and logistics.
You will be involved in everything sales-related except payment collection. You will also serve as backup to our Accounts Receivable accountant when needed. If you're organized, tech-savvy, and thrive in a fast-paced, collaborative environment, we'd love to hear from you.
The ideal candidate will work 3-4 days a week on-site at our West 4th showroom/office.
Key Responsibilities:
Sales & Order Management
- Manage and process online, Costco, UK/EU, and distributor orders in Salesforce and coordinate with production
- Maintain and update the master price list across Google Drive, Salesforce, and WooCommerce for different currencies and markets.
- Coordinate with shipping and Accounts Receivable to ensure accurate shipping calendar entries and payment tracking
- Maintain accurate customer and order data in CRM (Salesforce experience is a plus)
Showroom & Customer Support
- Assist customers in the showroom on Saturdays or as needed (not required to actively sell, just provide support)
- Handle customer communications regarding quotes, order status, and product information
- Support the team with catalog organization and brochure updates
Marketing & Product Support
- Maintain and update photo portfolios online and in Google Drive; distribute updated materials to distributors and sales reps
- Coordinate marketing efforts, including advertisements in industry publications, working with external designers as needed
- Support new product launches with updated specs, CAD details, and photos across relevant channels
- Assist with updating website content: text, images, banners, and layout as skill level permits
- Handle ad hoc marketing projects such as event support, trade show prep, and lunch & learn materials
- Over time, assist with digital marketing including Google Ads, Google Analytics reporting, and LinkedIn content
Finance & Admin Support
- Serve as backup to AR for holiday coverage, including basic collections and invoicing follow-up
- Coordinate distributor communications and ensure timely response to their needs
General
- Perform any other duties as required to support the smooth operation of the business
Qualifications:
- 2+ years in sales administration, order processing, or a similar role
- Strong organizational skills with exceptional attention to detail
- Proficiency in Microsoft Office Suite (Excel, Outlook, Word)
- Experience with Salesforce or similar CRM systems (training can be provided)
- Familiarity with WooCommerce, Google Drive, and online file management
- Basic understanding of marketing coordination and content updating is an asset
- Excellent communication skills and a collaborative attitude
