Join the Faculty of Graduate Studies and Research (FGSR) team as a Student Experience Coordinator ! In this crucial role, you will coordinate and provide leadership on activities that focus on building a vibrant student community. Your efforts will support FGSR's strategic objectives and contribute to the overall success and well-being of graduate students. What You'll Do: Event Planning and Implementation

• Plan and Execute Events: Organize a portfolio of events and activities for graduate students and postdocs based on direction from the Associate Dean. This includes events like Graduate Student Orientation, Three Minute Thesis (3MT), and the Graduate Student Conference.
• Project/Event Management: Define and develop project concepts, set objectives and KPIs, and manage budgets. Create detailed plans outlining tasks, timelines, budgets, data management, strategic objectives, key messaging, and event details.
• Sponsorship and Collaboration: Work with the Associate Dean to secure sponsorships and partnerships. Collaborate with various groups and oversee project work done by others, ensuring timelines and expectations are met.
• Onsite Event Management: Solve issues quickly, ensure events run smoothly, and meet the needs of students, guests, and the University. Perform pre-event venue checks and coordinate with on-site staff.

Communications/Marketing for Events/Activities

• Develop Communication Plans: Create marketing and communication plans to promote events and ensure all stakeholders, especially students, are informed about upcoming opportunities.
• Manage Online Presence: Update the student experience section of the website, including the events calendar. Develop content to promote student accomplishments and create the FGSR monthly newsletter.
• Liaise with Stakeholders: Communicate directly with students and other stakeholders, manage photography needs, and develop promotional materials for FGSR, including publishing FGSR's monthly newsletter.

Student Engagement and Support

• Support Student Groups: Serve as the main contact for student groups funded by FGSR. Provide guidance and support in event planning, budgeting, promotion, and project management.
• Recruitment Activities: Assist in recruitment events to enhance the student experience from the start. Identify and execute virtual and in-person recruitment events in collaboration with the Dean, Associate Deans, portfolio managers, and Faculties.
• Feedback and Reporting: Work with the Associate Dean to ensure FGSR is meeting its student experience objectives. Provide feedback, survey results, and reports as requested.

Position Requirements What You'll Bring to the Position:

• Bachelor's degree in a relevant field
• 3 years of event and/or related communications management experience; experience in a post secondary setting working with students is an asset.
• Combination of education and experience may be considered.

• Project Management Skills: Ability to plan, coordinate, execute, supervise, and evaluate programs and events. Knowledge of logistics, marketing, communications, registration, and data management.
• Budget Management: Skilled at preparing, reviewing, analyzing, and monitoring budgets. Able to reconcile expenses in a timely fashion.
• Communication Skills: Exceptional written and oral communication skills for professional emails, activity plans, presentations, and networking.
• Event Execution: Proven track record of successful execution of high-impact community events and projects.
• Technical Proficiency: Proficiency with Microsoft Office programs and design software like Adobe Creative Suite and Canva.
• Time Management: Exceptional time management and attention to detail to manage multiple events and activities simultaneously.

Physical Demands Pay Grade APT 4 Salary Range $64,796 to $87,436 Status Permanent Work Hours The normal work hours for this position is 8:15 am to 4:30 pm. Evening and some weekend work is required on a regular basis.
