Medical Secretary - Maternity & Gynaecology

The Role
Join NHS Greater Glasgow and Clyde as a Medical Secretary and play a vital role in supporting the delivery of high-quality, patient-centred care. Working closely with Consultants and clinical teams, you will be at the heart of coordinating patient pathways and administrative processes. All other roles will be assessed for sponsorship eligibility in line with current Home Office requirements. NHS Greater Glasgow and Clyde (NHSGGC) can only issue a Certificate of Sponsorship (CoS) where these are met.
Duration, Location, and Working Pattern:
- You will be based at Queen Elizabeth University Hospital, Maternity Unit
- Full Time, Permanent
- Working Monday to Friday 09:00 to 17:00, but must be flexible
Key Responsibilities
- Provide comprehensive secretarial and administrative support to Consultants and clinical teams, including correspondence, audio typing and document preparation
- Manage diaries, clinic schedules and workload priorities to ensure efficient use of time and resources
- Act as a key point of contact for patients, relatives and staff, handling enquiries with professionalism, sensitivity and discretion
- Coordinate patient pathways, including appointments, admissions, investigations and follow-ups in line with waiting time targets
- Maintain accurate electronic patient records and utilise systems such as TrakCare, SCI Gateway and Microsoft Office
- Prioritise and manage incoming communications, ensuring appropriate action is taken promptly
- Liaise effectively with multidisciplinary teams and external agencies to support seamless service delivery
Knowledge, training, qualifications and/or experience required to do the job:
- HNC or SVQ III in Secretarial Studies or Business Administration or equivalent relevant experience
- Proficiency in Microsoft Office and healthcare systems with accurate and advanced keyboard skills
- Knowledge of medical terminology and healthcare administration processes
- Excellent organisational skills with the ability to prioritise workload and meet deadlines
- Strong communication and interpersonal skills with a professional, compassionate approach
- Ability to work independently and as part of a team, using initiative and sound judgement
- Experience in a healthcare setting and or waiting list management is desirable
