The Resident Manager is responsible for completing daily inspections and maintaining the property in a clean, safe and well-maintained condition. Daily Duties
- Inspect all life safety systems and ensure they are in proper working order.
- Complete and maintain the required fire log book and life safety documentation.
- Inspect boiler rooms and electrical rooms and maintain the log book.
- Inspect parking levels, parking entrances and exterior parking areas.
- Inspect all building floors, hallways, common areas, roof and exterior grounds. Identify and resolve deficiencies.
- Inspect all mechanical systems, facilities, storage rooms and other property areas.
- Clean, mop and clear debris from refuse chutes and surrounding areas.
- Clean and maintain the compactor room and change garbage bins as required.
- Clean elevator landings, elevators, lobby, back lobby/moving room, laundry room, parking entrances and other common areas.
- Pick up litter and maintain exterior grounds, walkways, parking areas, landscaping and flowerbeds in a neat and tidy condition.
- Water flowers and perform other basic landscaping duties as required.
- Review and investigate all resident maintenance requests within 48 hours of receipt and arrange or complete repairs as appropriate.
- Clean vacant suites and ensure they are prepared for showing and occupancy.
- Vacant suites responsibilities-
- Arrange inspection and obtain estimates from contractors
- Coordinate with contractors and follow up on major turnover work as required to ensure the suite meets the property’s standards. Get prior approval from the management
- Complete in-house maintenance and minor repairs in vacant suites as required to ensure units are rent-ready.
- Complete minor electrical work, such as replacing light switches, light bulbs, and other basic fixtures as required.
- Clean and maintain appliances, including refrigerators, stoves, dishwashers, and other in-suite appliances.
- Clean, air vents, and other accessible areas as required.
- Perform minor carpentry and hardware repairs, including tightening or adjusting cabinet hinges, handles, doors, and other fixtures.
- Address minor plumbing, mechanical, and general maintenance issues that can be completed in-house.
- Inspect vacant suites following completion of major turnover work by contractors and identify any outstanding items.
- Ensure all required in-house maintenance, cleaning, touch-ups, and minor repairs are completed before the suite is considered rent-ready.
- Conduct a final inspection of the vacant suite to confirm it is clean, functional, safe, and ready for occupancy.
- Update and maintain the in-suite maintenance schedule.
- Complete repairs and maintenance in the building as required, including plastering and painting, as required.
- Inspect and address hazardous conditions, including issues requiring immediate attention.
- During winter operations, inspect sidewalks, driveways, parking areas and entrances and correct or report hazardous conditions.
- Complete snow shoveling, salting and other winter maintenance duties as required.
- Complete snow logs daily during the winter season.
- Ensure the property remains clean, safe and presentable throughout the day.
- Answer resident inquiries promptly and professionally.
- Respond to resident concerns and service requests.
- Provide appropriate follow-up on maintenance requests.
- Maintain professional and positive relationships with residents.
- Deliver resident notices as required.
- Communicate building information, maintenance activities and operational updates to residents.
- Complete incoming and outgoing suite inspections as required.
- Ensure proper notice is provided before entering a resident's suite, generally 24 hours' notice , except where emergency entry or other legally permitted entry applies.
- Assist residents with building-related questions and concerns.
- Be available for emergencies while on duty.
- Support leasing activities and respond to prospective resident inquiries.
- Be available for leasing activities and appointments from 8:00 am to 8:00 p.m. when required .
- Collect and process rental payments in accordance with company procedures.
- Take rental cheques and required deposits to the bank.
- Process property correspondence.
- Maintain organized property files and documentation.
- Maintain proper resident and tenant files.
- Prepare and complete required inspections, logs, notices, reports and forms.
- Prepare purchase orders (POs) for Property Manager approval.
- Coordinate approved work using authorized POs.
- Verify the quality of completed work and supporting documentation
- Receive POs for acceptable and completed contractor work.
- Forward completed POs and supporting documentation to Accounts Payable.
- Maintain accurate property records.
- Maintain and update maintenance schedules.
- Ensure the property office remains organized, clean and professional.
- Complete other administrative tasks associated with the operation and leasing of the building.
- Coordinate and schedule approved trades, suppliers and contractors.
- Supervise trades and suppliers while working on the property.
- Ensure contractors complete work in accordance with the approved scope.
- Monitor the quality and completion of work.
- Ensure packing slips and time tickets are signed before trades and suppliers leave the property.
- Verify that information recorded on packing slips and time tickets is accurate.
- Follow up on incomplete, deficient or outstanding work.
- Escalate significant maintenance issues or contractor concerns to the Property Manager.
- Ensure contractors and suppliers follow applicable property rules and safety requirements.
- Respond immediately to emergencies, including fire, flood, no heat, elevator failure, electrical outages and other urgent building situations.
- Contact the Property Manager as quickly as possible during an emergency and follow their direction.
- Take appropriate immediate action to protect yourself, residents, the property and building systems.
- Maintain required emergency and life safety documentation.
- Ensure life safety systems remain operational and deficiencies are promptly reported and addressed.
- Maintain compliance with company emergency procedures.
Twice Weekly and As Required
- Clean all hallways.
- Clean elevator tracks.
- Clean fire extinguisher cabinets.
- Clean stairways.
- Clean other common areas as required.
- Address additional cleaning requirements identified through inspections or resident needs.
- Update property availability reports.
- Update traffic reports.
- Review outstanding maintenance requests and ensure appropriate follow-up.
- Review outstanding contractor and supplier work.
- Review property deficiencies and ensure corrective action is underway.
- Follow up on outstanding resident concerns.
- Review building operations and outstanding issues with the Property Manager as required.
2nd, 15th and 25th of Each Month
- Print the current Aging Summary.
- Deliver Friendly Reminder notices to applicable residents.
- Include the applicable tenant ledger with the Friendly Reminder notice.
- Follow established company procedures for rental arrears and collections.
- Escalate outstanding accounts to the Property Manager as required.
- Attend tribunal hearings under the direction of the Property Manager.
- Assist with legal-related tasks and documentation.
- Prepare and deliver required resident notices.
- Maintain accurate records relating to collections, notices and legal matters.
- Reasonably enforce the Landlord's rules and regulations in accordance with company policies and applicable legislation.
- Reconcile parking spreadsheets.
- Cancel key fobs, access cards and other building access credentials for residents who have moved out, where applicable.
- Review outstanding maintenance and property issues.
- Review contractor and supplier accounts and outstanding work.
- Ensure property files and documentation remain current and organized.
- Review building access records and ensure former residents no longer have unauthorized access.
- Complete annual in-suite safety inspections.
- Maintain records of completed safety inspections.
- Follow up on deficiencies identified during inspections.
- Support annual building maintenance and inspection programs.
- Complete annual compliance and operational requirements as directed by the Property Manager.
- Comply with all company Occupational Health & Safety policies and procedures.
- Maintain a safe environment for residents, visitors, contractors and employees.
- Identify and report hazards immediately.
- Correct hazards where possible or arrange for appropriate corrective action.
- Follow safe work practices when performing maintenance, cleaning, landscaping and other physical duties.
- Use appropriate personal protective equipment where required.
- Assist with leasing activities and prospective resident inquiries.
- Maintain accurate availability information.
- Conduct and document suite inspections.
- Ensure vacant suites are properly cleaned, maintained and prepared for occupancy.
- Maintain accurate resident and suite records.
- Support the Property Manager with leasing and administrative requirements.
- Take reasonable steps to ensure the building is operated in accordance with company policies and applicable legislation.
- Remain on the property during scheduled working hours unless otherwise authorized.
- Maintain a visible and professional presence on the property.
- Be available for emergencies while on duty.
- Support after-hours leasing requirements when scheduled or required.
- Prioritize daily operational requirements to ensure resident service, building maintenance and business demands are met.
- Perform other duties as assigned by the Property Manager.
- Previous experience in residential property management, building operations, maintenance or a related field is an asset.
- Strong customer service and resident relations skills.
- Strong verbal and written communication skills.
- Strong organizational and administrative abilities.
- Basic computer skills and ability to learn property management systems.
- Practical maintenance and troubleshooting skills.
- Ability to perform plaster & paint repairs and general building maintenance.
- Ability to coordinate and supervise contractors, trades and suppliers.

- Ability to work independently and prioritize multiple competing demands.
- Strong problem-solving and decision-making skills.
- Ability to respond calmly and effectively during emergencies.
- Professional approach to resident complaints, inquiries and sensitive matters.
- Ability to work flexible hours to meet property and leasing requirements.
- Ability to perform physical duties associated with the position, including lifting up to 50 lbs.
- Previous multi-residential property management experience is an asset.
