About the AFN
The AFN is an advocacy organization that takes direction and fulfills mandates as directed by First Nations in-Assembly through resolutions. As a national advocacy organization for First Nations, the AFN seeks to advance First Nations Inherent and Treaty Rights through the development of policy, public education, and where applicable, the co-development of legislation to build First Nations capacity.
Position Overview
The Assembly of First Nations (AFN) is seeking to staff the role of Administrative Support. The Administrative Support takes direction from and reports to the Director, Water Sector. The incumbent provides assistance in the development and overall administrative management of the Sector.
Functions & Accountabilities:
- To perform all general office work, clerical duties, data storage, collection and processing necessary information for the effective operation of the Sector.
- Organizing and maintaining the Sector files, records and data base.
- Making travel arrangements for staff and committee members of the Chiefs Committee and Technical Committee by booking of flights, confirming Hotel Reservations, car rentals.
- Organizing meeting arrangements by preparing mail-outs, call packages, assembling information kits, photocopying and collating information.
- Booking meeting facilities for meetings and workshops and ensuring all administrative and financial details are recorded, monitored and contracts are fulfilled and processed in accordance with AFN policy and procedures
- Maintain copies of accounting records of the Sector.
- Filing, classifying and organizing all incoming correspondence, reports and studies and maintaining file index of all correspondence and resource materials.
- Prepares draft correspondence and uses mail merging techniques.
- Type minutes, meeting summaries and proofread correspondence, reports, statements, invoices, forms and other documents from notes or tape recording devices.
- Open, sort and route incoming mail.
- Preparing and completing cheque requisitions, purchase orders, travel expense claims for staff and committee members of the Policy Sector.
- Reconciling budgetary reports produced by Finance with program records.
- Financial tracking of program contribution and expenditures.
- Facilitates cross-divisional coordination of travel and plans.
- Assists in coordinating internal meetings and off-sites, as requested.
- Maintains and schedules appointments and diaries for the Sector staff.
- Communicating in writing with other AFN departments as required
- Coordinating the distribution of internal and external correspondence from Sector
- Serves as a point of contact for external constituencies on matters pertaining to the Director.
- Communicates directly through emails and telephone on behalf of the Director, with government representatives, Chiefs, First Nations and all other contacts, on matters related to Director's programmatic initiatives.
- Assists the Director with the planning of the Sector’s Chiefs Committees, Technical Committees, and/or Working Groups.
- Provides assistance at the Chiefs-in-Assembly (Annual General Assembly and Special Chiefs Assembly) meetings held twice annually in July in different locations and December in the Ottawa area, as required.
- Conducts other duties as assigned by the Director.

- Successful completion of secondary school and certificate in administrative studies or equivalent combination of education and 2+ years of relevant experience

Aperçu du poste
L’Assemblée des Premières Nations (APN) cherche à pourvoir un poste en soutien administratif. Le ou la titulaire de ce poste prend ses directives et relève du directeur du Secteur et aide au développement et à la gestion administrative globale du Secteur.
Fonctions et responsabilités
- Effectuer toutes les tâches administratives générales, les tâches de bureau, le stockage des données, la collecte et le traitement des renseignements nécessaires au bon fonctionnement du Secteur.
- Organiser et tenir à jour les dossiers, les archives et la base de données du Secteur.
- Organiser les déplacements du personnel et des membres du Comité des Chefs et du Comité technique, notamment réserver les vols, confirmer les réservations d’hôtel et louer des véhicules.
- Organiser les réunions, notamment la préparation des envois postaux et des forfaits téléphoniques, l’assemblage des trousses d’information, les photocopies et le rassemblement des renseignements.
- Réserver des salles de réunion pour les réunions et les ateliers et veiller à ce que tous les détails administratifs et financiers soient consignés et contrôlés et que les contrats soient exécutés et traités conformément à la politique et aux procédures de l’APN.
- Conserver des copies des registres comptables du Secteur
- Ranger, trier et organiser la correspondance, les rapports et les études reçus, et tenir à jour un index de toute la correspondance et de tous les documents.
- Préparer des brouillons de correspondance et utiliser des techniques de fusion de courrier.
- Taper les procès-verbaux et les résumés de réunion et relire la correspondance, les rapports, les déclarations, les factures, les formulaires et autres documents à partir de notes ou d’enregistrements audio.
- Ouvrir, trier et acheminer le courrier entrant.
- Préparer et remplir les demandes de chèques, les bons de commande et les demandes de remboursement des frais de déplacement pour le personnel et les membres du Comité du Secteur des politiques.
- Rapprocher les rapports budgétaires produits par les Finances avec les registres des programmes.
- Assurer le suivi financier des contributions et des dépenses de programme.
- Faciliter la coordination des déplacements et des plans entre les divisions.
- Aider à la coordination des réunions internes et externes, au besoin.
- Gérer et planifier les rendez-vous et agendas du personnel du Secteur.
- Communiquer de manière écrite avec les autres départements de l’APN, au besoin.
- Coordonner la distribution de la correspondance interne et externe du Secteur.
- Servir de point de contact pour les parties prenantes externes au sujet de questions se rapportant au directeur.
- Communiquer directement, par courriel et par téléphone au nom du directeur, avec des représentants de gouvernement, des Chefs, des Premières Nations et toute autre personne-ressource au sujet de questions liées aux initiatives programmatiques du directeur.
- Aider le directeur à assurer la planification des Comités des Chefs, des Comités techniques et/ou des Groupes de travail du Secteur.
- Aider, au besoin, à la tenue des réunions des Chefs-en-Assemblée (Assemblée générale annuelle et Assemblée extraordinaire des Chefs), qui ont lieu deux fois par an : en juillet à un endroit différent et en décembre dans la région d’Ottawa.
- Accomplir d’autres tâches assignées par le directeur.

- Diplôme d’études secondaires et certificat en études administratives ou combinaison équivalente d’études et de deux années ou plus d’expérience pertinente
- Connaissances et compétences avancées dans l’accomplissement de tâches plus complexes.
- Grande habileté interpersonnelle, compétences en communication orale et écrite et capacité de susciter une interaction et collaboration efficaces à tous les niveaux et parmi un vaste éventail de personnes.
