Finance and HSE Assistant

Job Responsibility:

Expert Mobile Communications is currently looking for a Finance and HSE Assistant. This position demands an individual who is comfortable with a fast-paced office environment, has a thorough understanding of bookkeeping principles, and is willing and able to support the remainder of the team in times of need.

The position will be primarily responsible for day-to-day accounts payable and receivables, deposits and bank runs, expense reconciliation, and expected to take on administrative tasks in Health, Safety, and Environment. This is a part time position which can lead into a full-time position. Hours are Monday to Friday from 8 am to 5 pm.

An ideal candidate should possess strong computing skills, data entry, invoicing, collections, excellent customer service, and flexibility for an ever-changing day-to-day role.

Finance Responsibilities:

• Answering the phone and email for client accounting requests
• Processing and reconciling accounts receivables, credit card payment requests, electronic funds transfers, and other payment methods
• Follow up and maintenance of all aging Accounts Receivable lists. Processing of all accounts payable for multiple vendors.
• Reconciling credit card expenses and other bills
• Photocopying, faxing, scanning documents, and other administrative duties as required
• AP/AR billing, coding, processing, data entry
• Invoice, Statement, and Cheque processing
• Intermediate collection through reminders, calls, and notices
• General bookkeeping, filing
• Month and year-end assistance
• Contract administration and maintenance
• Backup for customer service, sales, and rentals

HSE Responsibilities:

• Work with the General Manager to implement our health and safety program
• Update the monthly health and safety statistics
• Regularly review health and safety performance and compliance
• Support incident Investigations and provide follow-up documentation
• Support hours of service tracking Participate in monthly safety meetings as required
• Keep the corporate health and safety manual up to date

Essential Qualifications:

• Professional and courteous phone and email skills
• Accurate and efficient typing and data entry skills
• Have strong English communication skills, both spoken and written, with the proven ability to communicate with respect and professionalism
• Motivated and able to complete tasks with little to no supervision
• Proficiency in accounting related software and in-depth knowledge of ARI, Open Invoice, Cortex
• Strong communication skills
• Organized and good with numbers

Preferred Qualifications:

• Bookkeeping, Accounting courses, and experience
• Administrative training, certificate preferred
• 2 + years of accounting experience A/R & A/P
• 4 + years of professional experience
• Experience with ISN and Complyworks
• Knowledge of OHS legislation
